The Administrative Assistant will perform a wide range of administrative and operational support for day-to-day operations as well as proactively establishing and coordinating communications, meetings, presentation, and travel.
Key Responsibilities:
- Utilize Microsoft Dynamics software to manage and maintain databases, including updating information, processing transactions, and generating reports.
- Edit documents, presentations, and spreadsheets using Microsoft Office suite.
- Organize and maintain physical and electronic files, ensuring accuracy and confidentiality.
- Assist with office activities and operations to ensure efficiency and compliance with company policies.
- Serve as a relief receptionist, greeting visitors, answering phones, and directing inquiries appropriately.
- Assist with procurement activities as needed.
- Assist with bookkeeping tasks.
- Collaborate with colleagues to support special projects, events, and initiatives as required.
- Uphold company policies and procedures, ensuring compliance with regulations and best practices.
Required Knowledge and Experience:
- High school diploma or equivalent; associate's or bachelor's degree in accounting, finance, business administration, or related field preferred.
- Experience with Microsoft Dynamics software.
- Excellent organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients, colleagues, and vendors.
- Proficiency in Microsoft Office suite (Word, Excel, Power Point, Outlook).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to work in a fast-paced environment and handle changing priorities.
- Strong problem-solving skills and a proactive approach to addressing challenges.
- Legal authorization to work in the United States.
