We are seeking a detail-oriented and organized Office Administrator to join our team and contribute to our daily operations.
Job Description:
As an Office Administrator, you will be responsible for ensuring smooth and efficient office operations while providing essential support across various departments. Your role will encompass a blend of administrative tasks and basic IT responsibilities.
Key Responsibilities:
- Administrative Duties:
- Manage office supplies inventory and place orders as necessary.
- Coordinate and schedule meetings, appointments, and travel arrangements for executives.
- Prepare and distribute correspondence, memos, letters, and forms.
- Maintain electronic and hard copy filing systems.
- Assist in the preparation of regularly scheduled reports.
- Handle sensitive information in a confidential manner.
- IT Support:
- Provide basic technical support for office equipment such as printers, copiers, and scanners.
- Troubleshoot minor hardware and software issues and escalate complex problems to the IT department.
- Assist in setting up and maintaining computer workstations, including installing software and performing updates.
- Support the IT team in managing network and server systems, ensuring they operate efficiently.
- Educate staff on basic IT procedures and best practices.
- General Office Support:
- Greet visitors and direct them to the appropriate person or department.
- Answer and direct phone calls in a professional manner.
- Maintain a tidy and organized office environment.
- Assist in organizing company events and team-building activities.
Qualifications:
- Proven experience as an office administrator, office assistant, or relevant administrative role.
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to prioritize tasks.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Basic understanding of IT principles and willingness to learn.
- Strong communication and interpersonal skills.
- High school diploma; additional qualifications in Office Administration or IT are a plus.
