The Office Manager for a commercial painting company ensures seamless office operations and supports project execution through efficient file management, accurate documentation, and clear communication with internal and external stakeholders.

Responsibilities:

  • Maintain and update job files using project management software for accurate documentation.
  • Process payroll and per diems, ensuring all documentation is submitted to the corporate office promptly.
  • Input project information into Procore and generate weekly reports for collections, CSI, and JOR tracking.
  • Prepare Work in Progress (WIP) reports and oversee the submission of subcontractor payment applications.
  • Verify Master Subcontractor Agreements and manage purchase orders to support project needs.
  • Coordinate with suppliers and vendors for materials, labor, and logistics for painting crews.
-Handle customer pre-qualification paperwork and maintain effective communication to resolve scheduling or budget inquiries.
  • Oversee office inventory, procurement of supplies, and management of incoming/outgoing mail.
