The Virtuoso Voyages Coordinator will provide support for the Virtuoso Voyages program. The Virtuoso Voyages Coordinator has daily communication with the Program Manager to ensure alignment on and execution of program deliverables, goals, and initiatives.

Virtuoso Voyages is a program designed to increase cruise sales. Sailings within the program include benefits for the group of guests booked through a Virtuoso travel advisor including: an onboard host, a private welcome reception, and an extra amenity/benefit.

This added layer of benefits enables advisors to sell on value rather than price, with the additional opportunity to become a certified onboard host.

Essential duties and responsibilities include the following. Other duties may be assigned.
  • Support Program Manager with ongoing program management, goals, initiatives, etc.
  • Support management of designated email inbox.
  • Maintain information/resource page on Virtuoso.com.
  • Schedule and run behind the scenes operations for Zoom webinars.
  • Send various scheduled email communications to hosts.
  • Assist in maintaining online registration platform.
  • Support and update sailing data spreadsheet.
  • Assist with host application review process.
  • Assist with bi-weekly submissions for cruise newsletter.
  • Liaise with Operations on registration changes, sailing updates and special requests.
  • Support community event management and logistics.
  • Maintain tracking sheets for various information.
  • Maintain dashboard in Smartsheet.
  • Compile weekly status reports for internal team.

Educational and Skills Requirements:

  • College degree or equivalent work experience
  • 2-3 years or travel or coordinator related experience
  • Excellent customer service skills with a demonstrated ability to address and resolve complaints with a high degree of professionalism
  • Ability to work effectively with coworkers and all levels of management
  • Understanding of diversity, foreign cultures, and customs
  • Strong communication, presentation, and writing skills
  • Demonstrated ability to exercise independent and sound judgement
  • Strong organization and time management skills
  • Ability to multitask, prioritize, and problem solve in a deadline driven environment with strong attention to detail
  • Proficiency in Microsoft Office (especially Power Point)

Travel Requirements:

  • Infrequent travel may be required to attend company events (1-3 trips per year).
  • Travel will be entirely domestic.

Type/Nature of Contacts:

  • Internal: Key job contacts are primarily with clerical and technical personnel and managers outside of the job’s immediate work unit/department.
  • External: Regular contact with partners and members.
