Duties
  • Greet and assist visitors in a professional and friendly manner
  • Answer, screen & direct phone calls promptly
  • Stamp daily mails
  • Collect & distribute both daytime & nighttime voicemail messages
  • Process & distribute incoming mail, Federal Expres, UPS
  • Assist in typing corporate correspondence
  • Maintain reception area neat at all times
  • Maintain beverage supplies
  • Prepare & clean conference room for various events
  • Set up Zoom meetings
  • Order office supplies, beverages & snacks
  • Perform data entry tasks with accuracy and efficiency
  • Order & pick up lunches
  • Organize & maintain physical & digital files
  • Make travel arrangements
  • Process expense reports
  • Assist as backup assistant network administrator
  • Process invoices
  • Assist with clerical tasks such as photocopying, scanning, and faxing documents
  • Support event planning activities and coordinate projects as needed
  • Provide customer support by addressing inquiries and resolving issues promptly
  • Proficient in administrative tasks including transcribing, data entry, and clerical duties
  • Knowledge of accounting software is a plus
  • Strong customer service skills with the ability to handle inquiries effectively
  • Familiarity with phone systems to manage incoming calls professionally
  • Experience in event planning or project coordination is advantageous.
Skills
  • Secretarial courses from high school or business school; or a minimum of two years related experience and/or training; or equivalent combination of education and experience.
  • Two years experience as a receptionist and Administrative Assistant
  • Excellent interpersonal skills.
  • Strong computer skills. Proficiency in Word and Excel required.
  • Familiarity with e-mail systems & calendar is required.
  • Well organized.
  • Maintains a professional dress code at all times.
  • Able to be consistently punctual & reliable in attendance
  • Able to demonstrate a friendly & helpful manner to visitors, callers, & employees
  • Able to operate switchboard quickly & effectively
  • Ability to effectively problem-solve complex issues.
  • Strong verbal & written communication skills
  • Ability to work independently & in a team atmosphere.
  • Detail-oriented, a learner & problem-solver with an active, curious intellect.
