Administrative Coordinator
This position is a versatile, service-oriented individual who thrives in a fast-paced environment. 32 hours a week/4 days onsite. Hours: 8:30AM-4:30PM. Pay ranges on experience $18-20.
Responsibilities:
Organizing and maintaining physical and digital documents, including creating, approving, or modifying documents.
Assist in the development of document control strategies, guidelines and procedures.
Collecting and maintaining data for comprehensive filing systems.
Coordinating and managing document distribution, both internally and externally.
Using software to convert formats, sizing and scaling photos, and correcting flaws in the documents.
Implementing periodic check-ups of the document system manual to ensure it is up to date.
Ensuring accurate document categorization to enable quick and easy access.
Handling customer requests for paper or electronic copies of documents.
Ensuring all documents are free of typographical errors and are properly edited and formatted.
Conduct regular audits of document control systems to ensure proper functioning and adherence to the document management policy.
Requirements:
Bachelor’s in hospitality management, HR, business or marketing, or equivalent experience.
Proven experience in document control or a related field.
Strong understanding of computer programs (MS Word, Excel, PowerPoint), electronic databases, and web applications.
Excellent communication skills, both oral and written.
Exceptional attention to detail with the ability to prioritize, multitask, and meet deadlines.
Strong problem-solving skills and ability to work under pressure.
Proficient in using content management systems.
Ability to carry confidential information with discretion.
Strong organizational ability and comfort with managing complex systems.
