Executive Assistant

We are offering an Executive Assistant role in the Boston, MA area. This role focuses on providing high-level administrative support to a team of executives in a remote setting, with occasional on-site visits for tasks such as mail collection and attending meetings.

This position is a short-term contract employment opportunity.

Key responsibilities:

  • Handle the scheduling and set up of Zoom calls and meetings, ensuring a smooth and efficient communication flow.
  • Manage email correspondence with precision, ensuring all communications are sent to the correct parties at the appropriate times.
  • Assist in making travel arrangements for executives, providing detailed itineraries and logistical support.
  • Provide support to three executives, managing calendars, preparing materials for meetings, and handling other administrative tasks as needed.
  • Attend meetings and handle minute-taking when possible, providing accurate and timely records of discussions and action items.
  • Regularly visit the office to collect mail and maintain a connection with the physical workplace.
  • Utilize various systems and tools such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, and Conference Calls to perform tasks efficiently and effectively.
  • Ensure all customer credit applications are processed accurately and efficiently, and maintain accurate customer credit records.
  • Monitor customer accounts and take appropriate action when necessary.
  • Resolve customer inquiries in a timely and professional manner, providing excellent customer service at all times.
  • Proficiency in ADP
  • Financial Services
  • Strong knowledge of Cisco Webex Meetings
  • Experience with Concur is essential
  • Demonstrable skills in CRM software
  • Previous experience with Kronos Timekeeping System
  • Familiarity with About Time software
  • Excellent calendar management skills
  • Exceptional communication skills, both written and oral
  • Experience in organizing and managing conference calls
  • Ability to handle correspondence with professionalism and discretion
