Job Description- Provide high-level administrative support to attorneys, including drafting, editing, formatting, and producing legal documents and correspondence.
- Prepare and file pleadings and legal documents in state and federal courts, ensuring compliance with procedural rules.
- Manage attorney calendars, including scheduling meetings, court appearances, and other appointments while tracking critical deadlines.
- Organize and maintain electronic and physical client files, ensuring accuracy and accessibility.
- Handle timekeeping and billing, including entering attorney time, reviewing pro forma bills, and preparing final invoices.
- Coordinate travel arrangements, including itineraries, accommodations, and transportation for attorneys.
- Prepare documents for trial, including tables of contents and authorities (TOC/TOA) and other critical case materials.
- Perform general administrative tasks such as answering calls, managing mail, handling expense reimbursements, and maintaining office supplies.
- Provide backup support to other legal secretaries as needed.
- Assist with closing client matters by preparing closing documents, signature pages, and binders.

The Successful Applicant- Experience: 3 to 12 years of commercial litigation experience, preferably supporting 5 or more attorneys simultaneously. Am Law 100 firm experience is strongly preferred.
- Technical Skills: Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook), e-filing in state and federal courts, docketing, and litigation procedures.
- Organizational Skills: Strong multitasking and prioritization abilities in a fast-paced environment.
- Communication: Excellent written and verbal communication skills, with the ability to draft correspondence requiring minimal editing.
- Work Ethic: Detail-oriented, proactive, and able to work independently or collaboratively as part of a team.
- Additional Skills: Familiarity with TOC/TOA preparation, calendaring systems, and legal document management.
