Administrative Assistant

We are looking for an Administrative Assistant to join our team in Portland, Maine. In this role, you will be tasked with handling inbound calls, providing customer service, and managing data entry and email correspondence. This position is based in an office environment and offers a short-term contract employment opportunity.
Responsibilities:
- Manage data entry tasks with high attention to detail and accuracy
- Respond to email correspondence in a timely and professional manner
- Contribute to the maintenance of an organized database, including updating donations and grants information
- Assist with mailings and letter writing tasks as needed
- Collaborate with the philanthropy team on various tasks and projects
- Offer support to the HR and campus sustainability departments when required
- Conduct scanning and other back office duties as necessary
- Manage light phone work efficiently and professionally
- Schedule appointments using Microsoft Outlook, Word, and Excel.
- Proficiency in answering inbound calls and providing excellent customer service
- Ability to perform data entry tasks with high accuracy
- Familiarity with email correspondence and managing professional communication
- Proficiency in managing schedules and appointments using Microsoft Outlook
- Experience in creating and editing documents using Microsoft Word
- Ability to coordinate and schedule appointments, including managing multiple calendars
- Strong organizational skills and attention to detail
- Excellent time management skills and the ability to prioritize work.
