We are providing an opportunity to be part of an exciting role for an Executive Assistant in Aventura, Florida, United States. The role involves supporting a CEO with complex and confidential administrative duties requiring considerable judgment, tact, creativity, and initiative.
This role offers a contract to permanent employment opportunity.
Responsibilities:- Handling telephone calls, taking messages, and responding to queries related to executive activities.
- Coordinating travel arrangements, including itineraries, agendas, and expense reports.
- Managing the Corporate HQ location in Aventura, FL.
- Assisting in the preparation of special reports, summaries, or presentations by selecting relevant information from various sources.
- Maintaining and updating confidential files, records, and publications.
- Liaising with direct reports and others throughout the company on projects and requests to ensure needed information is available to executives.
- Coordinating on and off-site meetings and other events.
- Arranging appointments for the CEO and maintaining the executive calendar.
- Receiving, sorting, and prioritizing mail and email, noting required actions and dates.
- Anticipating, revising, and sending correspondence as needed.
- Coordinating and submitting expenses, invoices, etc. for the CEO.
- Proficiency in ADP - Financial Services
- Bilingual in English and Spanish
- Skilled in using Concur
- Familiarity with CRM systems
- Knowledge of Kronos Timekeeping System
- Proficiency in About Time software
- Ability to manage calendars effectively
- Excellent communication skills
- Experience in handling conference calls
- Ability to manage correspondence effectively
