Overview:

The Executive Assistant plays a pivotal role in ensuring the smooth operation of our senior executives' daily activities by providing comprehensive administrative support. This position demands a proactive and detail-oriented professional who excels in communication and thrives in a fast-paced environment.

The ideal candidate will possess exceptional organizational skills and the ability to prioritize with efficiency and accuracy. Given the nature of the role, a high level of discretion and confidentiality is paramount, as the Executive Assistant will be entrusted with handling sensitive information and making critical decisions on behalf of the executives.

How you'll make an impact:

  • Administrative Support: Provide high-level administrative support to senior executives, including handling calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Serve as the primary point of contact for internal and external communications, ensuring timely and accurate responses. Handle and prioritize incoming emails, phone calls, and other communications.
  • Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Meeting Coordination: Organize and coordinate meetings and events, including preparing agendas, taking minutes, and following up on action items.
  • Project Management: Assist in the planning and execution of special projects and initiatives, ensuring deadlines are met and objectives are achieved.
  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Relationship Building: Foster strong relationships with internal and external team members to facilitate effective communication and collaboration.
  • Problem Solving: Anticipate the needs of executives and proactively address potential issues before they arise.
  • Office Management: Oversee office operations and procedures to ensure efficiency and effectiveness.

About you:

Required:

  • High school diploma and 7 years related experience required.
  • Proficiency in Microsoft application skills, including Word, Excel, and PowerPoint.

Highly Preferred:

  • Minimum of 7 years of experience as an Executive Assistant or in a similar role.
  • Experience as an Executive Assistant or in a similar administrative role.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Ability to balance multiple tasks and prioritize efficiently.
