Overview:

The Administrative Assistant provides administrative support including clerical functions such as report generation, answering phones, coordinating travel, arranging conference calls, receiving visitors and scheduling meetings. This position typically reports to a Vice President level within the organization.

This is a temporary role lasting 3-4 months.

Responsibilities:

  • Coordinates the scheduled meetings which includes conference calls and in person meetings.
  • Manages travel arrangements and proactively coordinates the pre-planning of trips with various internal functions, including arranging appropriate travel, visas, hotels, transportation, meeting agendas and necessary contacts, as well as other information.
  • Process expense reports for Vice President or others as requested.
  • Prepare PowerPoint presentations for internal and/or customer meetings.
  • Produces various weekly and monthly reports for vice president and/or management teams.
  • Responsible for the planning and execution of the annual business meetings.
  • Analyzes incoming documents and prepares research reports.
  • Assists in Business budget maintenance and monitoring of expenditures.
  • Processes and maintains business unit paperwork.
  • Record purchase requisitions into NFI purchasing system as appropriate.
  • Performs other various administrative tasks as needed.

Qualifications:

  • Associates degree preferred, High School Diploma required
  • At least 5-7 years’ experience supporting executive management
  • Demonstrated ability to handle confidential information appropriately.
  • Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines.
  • Excellent verbal and written communication skills
  • Excellent internal and external customer service skills
  • Excellent Microsoft Office application experience
  • Professional appearance and demeanor
  • Bilingual in Spanish is preferred in some locations
  • Transportation, Distribution, Supply Chain industry a plus
