Coordinator (Office of the CEO)

Avoq is seeking a Coordinator to support the CEO. This person will help guide and assist senior leadership by using their excellent organization, communication, and interpersonal skills to optimize the CEO’s internal and external meeting schedule and ensure seamless preparation for executive team activities.

This role is based out of our Washington DC office.

WHAT YOU’LL DO

Administrative:

  • Manage the appointment calendar of the CEO.
  • Manage the expense reporting for the CEO and ad hoc support for Operations Team.
  • Proof-read company documents.
  • Reserve travel arrangements.
  • Support operations team in scheduling firm-wide events and activities.

Project and Relationship Management:

  • Coordinate the creation of materials for key staff strategy sessions, firm-wide meetings, and internal communications.
  • Act as a facilitator for internal and external meetings by greeting priority guests and promoting the timely start and end to scheduled meetings.
  • Work with relevant departments to prepare briefing information for the CEO before external or internal meetings and ensure required next steps are scheduled and completed.
  • Support key office initiatives such as employee engagement trainings, company events and all- staff meetings, as needed.
  • Collaborate with all departments and other administrative staff supporting executive management to facilitate timely and productive engagement with the CEO and Partner executive team.

Requirements

YOUR EXPERIENCE

As a qualified candidate, you have experience in:

  • 0-2 years of relevant administrative support and scheduling experience
  • Ability to multi-task in a fast-paced environment while keeping a professional demeanor
  • Exceptional verbal and listening communication skills
  • Outstanding writing and editing skills
  • Adept at project and process management
  • Proficient in Microsoft Office suite of products, specifically Outlook, PowerPoint and Excel
  • Able to manage multiple projects and deliverables simultaneously
  • A positive, professional and “can do” attitude
  • Must be able to work both independently and collaboratively
  • Desire and ability to take on increased responsibility as position evolves
  • As this role supports a key member of the Executive Team, there may be occasional assistance required outside of regular work hours

The salary range for this role is $50,000 - 60,000
