We have an excellent career opportunity for a full-time Project Administrator/Assistant Project Manager in operations and maintenance of facilities (O&M) located in NW Washington, DC. This position is on-site and not remote. Schedule: Full time, Monday to Friday, 8:30 am to 5:00 pm. On-site, not remote position.
Project Administrator/Assistant Project Manager Minimum qualifications:
- Five (5) years’ Customer service and administrative experience
- Experience operating and updating CMMS systems for updating, editing, routing, and uploading documents, including facility assets, PM schedules, work orders, inspections, testing, maintenance, certificates, and Quality Control (QC)
- Experience with EQIP
- Google Drive & Microsoft Office proficiency
- Government/commercial facility customer service and reporting experience
- Required to obtain and maintain federal government badge with public trust clearance
- Supervisory experience with authority and ability to delegate tasks to appropriate staff
- Experience with timesheet management
- Some background experience in the operation, maintenance and repair of building systems such as HVAC, electrical, lighting, carpentry, drywall and hardware, paining, masonry, flooring environments
Project Administrator/Assistant Project Manager Some Duties Include:
- Answer and direct phone calls and emails
- Assign & dispatch work orders
- Follow up on work orders
- Review work orders
- QC completed work orders
- Provide updates to customers on work orders and projects.
- Manage CMMS system
- Work directly with assisting Senior Project Manager & Project Manager
- Backup supervisor for onsite staff and subcontractors
- Coordinate and manage project tasks and deliverables.
- Request invoices, tracking payment, etc.
- Schedule safety training & attend
- Assist with parking applications and requests
- Participate in candidate interviews
- Schedule appointments for onboarding (background/fingerprints) & assist with EQIP
- Order office & site supplies, equipment, tools, and uniforms.
- Update and manage sign in sheets, leave requests, etc.
- Review staff time and collect documents to submit for payroll
- Assist in managing staff schedule.
- Collect daily logs, tours, reports, etc.
- Send out morning building report each morning with fire panel and elevator log
- Collect all daily, weekly, and monthly documents and distribute.
- Attend meetings with customer and managers
- Assist staff with work orders, iPads
- Manage all onsite files, paper & electronic, including contract required documents.
- Create and distribute reports
- Prepare & update Contract Deliverables and Plans
