Responsibilities:

Office Manager is responsible for the day-to-day management of the property, being the contact for owner, contractor, and board issues and responding to the all the queries and management processes that arise in managing a 107-unit property.

It requires a high level of interpersonal skills, familiarity with all Microsoft software programs, the ability to handle difficult owner issues, some accounting knowledge and the ability to multitask during the busy morning period.

Specific Daily Tasks
  • Responding to phone calls, emails and owner/board requests
  • Mailing collection and distribution
  • Maintaining a record of all contractors on property and ensuring they return keys and fobs
Regular Ongoing Tasks
  • Maintaining the fob entry system and distributing fobs as needed
  • Managing the LS&S website
  • Managing the owner rentals in accordance with our documents
  • Processing property sales in accordance with our documents
  • Maintaining the resident directory
  • Maintaining owner files with all relevant documents
  • Contacting association vendors to supply services
  • Assisting the Maintenance Manager as needed
  • Logging owner maintenance requests and passing to the Maintenance Manager for action
  • Responding to requests from the property manager and board members
  • Processing invoices for payment
  • Counting laundry coins and depositing them with the bank
  • Maintaining petty cash and coins for laundry machines
  • Office supplies, postage, filing etc
Regular Specific Time-Related Tasks
  • Posting and distributing notices of board and owner meetings – approximately 20 per year
  • Collating and emailing board packets to owners in advance of board meetings
  • Annual Owner Meeting notices and emails – annually from November to January
  • Owner newsletter distribution – 4 per year
  • Scheduling unit pest control – monthly
  • Board activity report - weekly
  • Scheduling fire/sprinkler inspections with appointed contractors – annually
  • Revising and publishing the association's Rules and Regulations – as directed by the board

Plus other work-related tasks as needed

Qualifications:

  • High school diploma or GED required. Associate degree preferred.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office – Word, Excel and Power Point).
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Pay and Benefits:

$22.00 to $24.00, depending on education and experience.
