Administrative Assistant
Natalie Lue with Robert Half is seeking a detail-oriented and experienced Administrative Assistant for a dynamic role within a fast-paced Financial District company in San Francisco. The principal responsibility of the role involves managing travel arrangements, expense reconciliation, creating reports, coordinating with vendors, and enforcing travel policy compliance while offering general administrative support.
Responsibilities:
- Handle corporate travel arrangements, including booking flights, accommodations, and transport, aligning with company policies and budget constraints.
- Address all billing issues related to travel; including prepayments, credit card authorizations, and hotel folios.
- Review invoices and complete expense reports, track credits, and aid in the preparation of expense reports to assure accuracy and compliance with company policies.
- Maintain travel records such as itineraries, reservations, and expense documentation. Prepare and distribute travel summaries and reports as necessary.
- Act as a liaison to travel vendors including airlines, hotel, and car rental agencies to resolve any issues and ensure excellent service.
- Assist in the enforcement of company travel policies and procedures while providing guidance to our employees regarding these processes.
- Provide ongoing administrative support, including scheduling meetings, drafting correspondence, and preparing reports.
- Oversee the usage of company air travel credit cards, frequent flier programs, and other relevant rewards and loyalty programs.
- Efficiently handle client inquiries and process their applications.
- Maintain accurate client credit records and monitor client accounts, taking suitable action when necessary.
The successful Administrative Assistant is highly organized and experienced in a fast-paced environment. This role requires onsite work on a daily basis.

2+ years onsite administrative support experience with strong history of attention to detail and meeting deadlines; Bachelors' Degree, MS Office, strong technical proficiency
