Job Description:
The Administrative Assistant is a dual-role involving C-Suite executive support and office management responsibilities of Codoxo, Inc. For this role, you’ll need to live in or near Duluth, GA. Typical hours for this role are 9am-5pm, Monday-Friday; on occasion there is a need to work additional hours on evenings and weekends during a launch or other events throughout the year.
The administrative assistant component of this position is responsible for overall front office activities, supporting identified executive calendar management, purchasing requests, meeting coordination (travel, hotel, food for internal meetings), maintaining adequate supplies of drinks and snacks for employees/visitors, facilities and management of the 3rd party providers such as the cleaning crew.The Office Manager is responsible for the organization and coordination of office operations, procedures and resources to facilitate effectiveness and efficiency for the entire organization
Administrative Assistant:
The ideal candidate will be a self-starter, who is just as comfortable working autonomously as with a team. The mission of the Administrative Assistant is to stay five steps ahead of their leader, tracking all of the administrative details, and clearing the path for him to make his greatest contribution to our business.The Administrative Assistant will be a key asset to the CEO by anticipating needs at an exceptionally high level.
While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the CEO’s needs and the needs of business. The most important responsibility of the Administrative Assistant is to ensure that administrative tasks (like calendar & email management) and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the CEO.
Office Management:
The office manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing intra-office communication protocol, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
The successful office manager is an energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.Well organized, flexible, and enjoys the administrative challenges of supporting and office of diverse people.
This candidate should be corporate culture-focused, bringing enthusiasm to the office and offering up new ideas and programs. The candidate will be expected to perform the following responsibilities:
- Heavy management of the CEO's email inbox oversight including reviewing emails, drafting on their behalf, flagging emails, and eliminating spam.
- Complex calendar management and meeting scheduling.
- Responsible for management of the office, which includes but not limited to working with landlord in managing repairs, issues, etc.
- Responsible for the facilities' day-to-day operations.
- Varying administrative tasks including, but not limited to, booking appointments, research projects, coordinating travel, and ordering appreciation gifts for employees etc.
- Light project management and accounts payable duties.
- Supervises and coordinates overall administrative and office activities.
- Supervises the maintenance of office areas and housekeeping of office facilities.
- Maintains the inventory of office supplies and places orders when necessary.
- Organize company events, recognize employee anniversaries and manage company swag.
- Coordinates and makes arrangements for internal meeting logistics related to quarterly meetings, catering, hotel, etc. This will include prospect visits or other company-related events.
Preferred Experience:
- A bachelor’s degree in a related field
- Minimum of 2 years’ as an administrative assistant supporting C-Suite and/or office management experience preferred
- Minimum of 1 years in a start up environment
- Event planning highly desired
- Working knowledge of office processes
- Critical thinking
- High level of professionalism and a strong ability to relate to people of all business levels.
- Understanding of project management and the skills needed to forecast and plan ahead.
- Effective interpersonal communication style particularly with Board members, executives and senior level staff.
- Passionate, enthusiastic, team player, with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities; proven ability to prioritize and manage multiple tasks simultaneously with little direction.
- Physical Requirements: Work is performed in an office environment (either in our office or work-from home) and requires the ability to work on a computer, operate standard office equipment, and work at a desk.
