PART TIME Administrative Assistant

We are in search of a dedicated PART TIME Administrative Assistant to join our team operating in the Food & Food Processing industry in Neptune, New Jersey. The primary role of this position is to provide administrative support for day-to-day operations, focusing heavily on Sales Support, Production Support, and general Office tasks.
This role offers a contract to hire employment opportunity and requires individuals who are proficient in MS Office Suite.
Responsibilities:
- Manage and answer all incoming telephone calls and inquiries in a courteous and professional manner
- Handle and coordinate customer purchase orders and sales sample orders, ensuring production personnel have all necessary documents for scheduling
- Oversee the shipment and delivery schedule for customer purchase orders to ensure timely delivery
- Prepare and assemble necessary paperwork for company vehicle outbound shipments and for customer order pick-ups
- Place orders for raw materials and other supplies as requested by Office and Plant personnel
- Maintain, review, and file food safety records on a daily basis
- Manage the office email inbox, ensuring all queries and requests are promptly addressed
- Greet office visitors, providing them with the necessary assistance and information
- Perform data entry tasks as necessary to keep records up-to-date and accurate
- Assist the President/CEO on an occasional basis with personal tasks and other assigned projects.
- Candidate must have a high school diploma or equivalent educational qualification.
- Proven experience as an administrative assistant or in a similar role within the food and food processing industry is required.
- Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
- Strong customer service skills with a focus on professionalism and courtesy.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and ability to multitask.
- Detail-oriented with strong problem-solving skills.
- Knowledge of office management systems and procedures.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing demands and priorities.
- Must have legal authorization to work in the United States.
- Experience with data entry and administrative reporting.
- Must have a strong ethics and reliability.
- Ability to handle sensitive and confidential information appropriately.
- Familiarity with the food and food processing industry is a plus.
