Legal Secretary

We are in search of a skilled Legal Assistant to join our client's team located in in Dallas, Texas. This role will primarily involve the production of documents, coordination of various administrative tasks, and management of electronic and face-to-face communications.

The Legal Assistant will also be expected to handle incoming and outgoing mail, manage files, and facilitate travel plans.

Responsibilities:

  • Accurately type and modify legal documents within requested timeframes, prioritizing work among various assignments.
  • Coordinate the production of lengthy and complex documents with Work Product Support Services as needed.
  • Prepare documents for e-filing as required.
  • Review and route incoming mail and prepare and process outgoing mail and faxes, arranging for specialized mail or messenger services as required.
  • Maintain paper and electronic files in compliance with current policies and work with Information Governance to create and maintain client files and indexes.
  • Professionally manage incoming calls, including client calls, assisting in coordinating calendars, expense reports, travel, and meeting arrangements.
  • Coordinate specific client dates with the Calendar/Docket Department as needed.
  • Prepare and process new matter forms and receive and screen phone calls and take messages as required.
  • Schedule meetings and arrange for conference rooms and meals.
  • Maintain and update contact names and addresses in the contact database and communicate effectively with clients and others in the Firm.
  • Anticipate the business needs of assigned attorneys, plan ahead, and meet deadlines.

Skills:

  • Proficiency in LexisNexis, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and Billing Functions.
  • Experience in Calendar Management, Dictation, Documentation, Commercial Litigation, e-Filing, and iManage.
  • Typing speed of over 60 WPM.
  • Experience as a Legal Assistant.
  • Proficiency in LexisNexis for legal research and case management
  • Advanced skills in Microsoft Excel for data analysis and reporting
  • Familiarity with Microsoft Office Suites including Word, PowerPoint, and Access
  • Proficient use of Microsoft Outlook for email and calendar management
  • Ability to manage billing functions for legal services rendered
  • Expertise in calendar management for scheduling appointments and meetings
  • Proficiency in dictation for recording verbal instructions or information
  • Strong documentation skills for maintaining accurate and detailed records
  • Experience in commercial litigation and familiarity with legal procedures
  • Previous experience as a Legal Assistant in a professional setting
  • Knowledge of e-Filing systems for court document submissions
  • Proficiency in iManage for document and email management
  • Typing speed of over 60 words per minute for efficient document creation and editing.
