Type: This is a full-time positionAbout the TeamAs part of the larger AP and Instruction Division, the Digital Transformation and Instructional Design departments include more than 70 dedicated team members focused on providing exceptional digital product and instructional offerings.

The Digital Transformation team is responsible for managing a portfolio of digital assessment and instructional products and leading the work to transition paper assessment programs to the College Board's digital assessment platform.

The Instructional Design department is responsible for managing the design, piloting and development of new AP courses to ensure that they are accessible, relevant and engaging for students.About the OpportunityAs a coordinator within AP&I, you will be the executive assistant to two Vice Presidents and will have the opportunity to support product development and instructional design professionals in two different departments.

In this role, you will work with leaders across the organization to coordinate calendars and events and support key activities that are needed to make College Board's digital offerings and AP courses a success.

In this role, you will dive into details and proactively support the team's work to ensure that our solutions are providing significant value to students, educators and test center professionals.In this role, you will:Offer Executive Support: Maximize executive effectiveness by providing comprehensive support that enables VPs to focus on strategic priorities and decision-makingBuild and Execute Operational Processes and Systems: Enhance departmental efficiency by building, implementing and maintaining systems that streamline operations and improve team productivityCoordinate Events: Strengthen team collaboration by coordinating and executing high-impact meetings, events, and communicationsSupport Department Finances: Support fiscal responsibility by supporting requisitions, expenses and paymentsConnect with Diverse Stakeholders: Build strong partnerships by serving as a trusted point of contact for internal and external stakeholdersSpecific Responsibilities:Provide Administrative Support (55%)Manage calendars for two Vice Presidents, maintaining a command of all meeting details and requests from across the organization and ensuring leaders can balance numerous competing priorities.Schedule large meetings that involve coordinating multiple calendars and arranging meeting rooms as needed.Book travel and ensure all details are clearly documented and easily accessible.Ensure timely and accurate submission of expense reports.Maintain detailed log of meeting requests, travel needs and expense tasks and update status regularly.Keep track of organizational and department priorities and timelines, send reminders to team of upcoming deadlines and track completion of tasks.Organize and flag requests for new meetings, reviews or deliverables that require attention and follow-up.Meet regularly with leaders in the two departments and maintain an understanding of current priorities and activities.Regularly engage and build productive relationships with the support staff of senior leaders across the organization.Support Staff Engagement and Department-wide Initiatives (15%)Lead activities to maintain employee engagement.Manage engagement committee and agendas for monthly department meetings.Support onboarding of new hires and/or new members of the department.Plan and coordinate in-person department and team meetings.Manage External Committee Meetings, Invoices and Payments (15%)Manage annual committee contracting, onboarding, and payments.Schedule virtual committee meetings annually, which involves coordinating availability from CB staff, external vendor staff, and the committee.Manage reimbursements and honoraria payments.Submit requisitions and invoices.Maintain detailed log of committee meetings, reimbursements, honoraria payments, requisitions and payments with status updated regularly.Support the Product Development Process (15%)Support scheduling and managing of in-person and remote product testing events and pilots that involve both internal staff and external users.Support product development by participating in internal testing activities, documenting findings and sharing with product managers.Review detailed product data including social media posts, survey responses, incident reports, and customer support inquiries and flag for follow-up by the product management team.Complete market research tasks as requested.About YouYou're the person everyone counts on to make things happen seamlessly behind the scenes.
