Operations Coordinator

We are looking for a diligent Operations Coordinator to join our team ONSITE in Houston, Texas. As an Operations Coordinator, you will be responsible for managing fleet inventory, generating operational reports, and maintaining excellent customer service with both internal and external stakeholders.
This role offers a contract to permanent employment opportunity and is fundamental in ensuring the smooth operation of our business.
Responsibilities:
- Accurately track new fleet purchases and vendor transactions on a daily basis.
- Manage the relationship with the fleet management company, handling tasks related to new and pending purchases, billing, approvals, case tracking, accidents and subrogation, maintenance and repairs, toll tags, and registration renewal prerequisites.
- Develop, run, and maintain operational reports across various systems of record.
- Collaborate with internal departments, such as insurance, legal, project sites, and bidding, for various documentation requests and company information.
- Create and manage comparative charts, purchase orders, and other company requirements for payment to vendors through company processing systems.
- Proactively support and respond to companywide project requests, such as vehicle registrations/titles, fuel card requests, employee fuel pins, and other forms of record/documentation.
- Analyze fleet data to identify opportunities for improvement and ensure efficient operations.
- Regularly correspond with project managers and leadership regarding all project fleet and equipment needs, submitted orders, inventory numbers, deliveries, and potential concerns/discrepancies.
- Maintain a customer service-oriented approach when interacting with external vendors and internal departments.
- Stay organized and agile when managing various competing priorities.
- Handle the entry of valuable data and distinguish faulty data, particularly when tracking and entering numbers and information pertinent to fleet reporting.
- Minimum of 3 years of experience in an operational coordination role or similar
- Proficiency in fleet management and experience with fleet vehicles
- Demonstrable experience in indirect procurement
- Ability to manage vendor relationships effectively
- Experience in preparing activity reports and processing purchase orders
- Familiarity with inventory tracking systems and procedures
- Knowledge of FMC regulations and compliance
- Proven project management skills and experience
- Exceptional customer service skills and ability to handle customer queries
- Experience using ERP systems
- Ability to multitask and prioritize in a fast-paced environment
- Strong communication and interpersonal skills
- Excellent problem-solving abilities
- Bachelor’s degree in Business Administration or related field preferred
