SUMMARY: Yocha Dehe Wintun Nation (Yocha Dehe or Tribe) is a federally recognized tribal government. The Tribe’s mission is to provide for the health and welfare of its people, to govern its own lands and affairs with sovereign independence and in a manner consistent with its cultural values, and to enhance and diversify its economy for the overall good of the nation.

Yocha Dehe’s governing body, its elected Tribal Council, is charged with implementing this mission. As a federally recognized tribe, Yocha Dehe exercises a government-to-government relationship with the United States, as well as with the State of California and local governments, and the Tribe actively engages with outside agencies and officials, local stakeholders, and members of the public.

POSITION SUMMARY: The department’s Administrative Assistant is responsible for providing administrative support and clerical services to the department’s daily functions. This position will interact with tribal members, department directors, external consultants, contractors, and vendors.
This position also may require providing receptionist duties for the Community Center front desk lobby by welcoming on-site visitors, answering incoming calls from a multiline telephone system, and directing callers and visitors to the appropriate personnel.
The Administrative Assistant is expected to handle highly sensitive, confidential, medical, and political issues, utilizing effective public relations and liaison skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides daily administrative support for the departments.
  • Develops and maintains physical and electronic file management systems.
  • Disseminates information and follows up on action items as appropriate.
  • Provides notice of meetings, events, and other obligations; provides follow-ups and reminders.
  • Copies, distributes, and files routine paperwork as well as critical organizational documents such as meeting minutes, resolutions, contracts.
  • Processes invoices, reimbursement requests, check requests and W-9 forms.
  • Records and tracks expenditure data, associating purchase orders and account codes while updating and ensuring accuracy.
  • Prepares letters, memoranda, reports, and other documents from draft input, proofreads and edits documents with close attention to detail (language, vocabulary, spelling, grammar, punctuation, sentence structure, etc.).
  • Performs dictation of Committee meeting minutes.
  • Prepares agendas, minutes, organizational charts, meeting materials and reports for all meetings.
  • Updates old forms to a new standardized layout and creates new forms as required.
  • Prepares, converts, and uploads electronic files for Committee meetings.
  • Schedules and coordinates events and venue requests.
  • Coordinates meeting arrangements, as requested.
  • Operates photocopier, fax, computers, and phone system.
  • Resolves service and invoice issues with outside companies.
  • Performs other duties as assigned.

Experience and/or Education
Three to five years of related experience and/or training; Associate degree (A.A.); or equivalent combination of experience and education.
Communication and Comprehension Skills
Must have excellent communication skills, including writing and proof-reading skills. Able to communicate effectively verbally and in written form. Able to maintain confidentiality and protect client rights. Excellent interpersonal skills both in person and by phone with a high degree of professionalism.
Able to read and interpret documents such as safety rules, operations and maintenance instructions, and procedure manuals.
Computer Skills
Must be proficient in Microsoft Office applications with the ability to use word processing, multimedia, email, spreadsheets, and database management software.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
Certificates, Licenses, Registrations

Individuals must be able to successfully pass the Tribal Gaming Agency (TGA) Background Check. Must possess a valid driver’s license and maintain a driving record that is satisfactory to the Tribe’s insurance carrier.

The employee must frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and ability to adjust focus.

Additional Conditions of Employment

Must recognize and maintain confidentiality and ensure security of sensitive Tribal matters. Must be able to work with diverse population and with cultural sensitivity. Must be willing to sign the Tribe’s Non-Disclosure, Non-Disparagement and Confidentiality Agreement.
