Receptionist

We are in the legal industry, based in New York, and are currently seeking a Receptionist. This role involves performing a variety of administrative duties, such as answering phone calls, organizing files, and scheduling appointments. This is a short-term contract employment opportunity that will require the successful candidate to have strong customer service and data entry skills, as well as proficiency in Microsoft Office applications.
Responsibilities:
- Answering multi-line phone systems in a professional manner and accurately taking messages.
- Managing email correspondence and ensuring all inquiries are addressed promptly.
- Efficiently processing customer service requests and maintaining up-to-date customer records.
- Utilizing Microsoft Word and Excel to organize and manage files.
- Scanning and filing documents to maintain an organized digital and physical filing system.
- Receiving and sorting mail in a timely manner.
- Providing general administrative assistance as needed, such as scheduling appointments.
- Ensuring all customer interactions are handled with a high level of professionalism and interpersonal skills.
- Assisting in the maintenance of office equipment and ordering supplies as necessary.
- Adhering to all legal industry regulations and guidelines. • Minimum of 2 years of experience in a receptionist role, preferably within the legal sector
- Proficiency in answering multi-line phone systems
- Strong customer service skills with a focus on professionalism and courtesy
- Experience with data entry tasks and maintaining accurate records
- Ability to handle email correspondence efficiently and professionally
- Exceptional interpersonal skills for interacting with clients and team members
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Experience in organizing files and maintaining an orderly workspace
- Ability to schedule appointments and manage calendars
