We are in the legal industry, based in New York, and are currently seeking a Receptionist. This role involves performing a variety of administrative duties, such as answering phone calls, organizing files, and scheduling appointments. This is a short-term contract employment opportunity that will require the successful candidate to have strong customer service and data entry skills, as well as proficiency in Microsoft Office applications.

Responsibilities:

  • Answering multi-line phone systems in a professional manner and accurately taking messages.
  • Managing email correspondence and ensuring all inquiries are addressed promptly.
  • Efficiently processing customer service requests and maintaining up-to-date customer records.
  • Utilizing Microsoft Word and Excel to organize and manage files.
  • Scanning and filing documents to maintain an organized digital and physical filing system.
  • Receiving and sorting mail in a timely manner.
  • Providing general administrative assistance as needed, such as scheduling appointments.
  • Ensuring all customer interactions are handled with a high level of professionalism and interpersonal skills.
  • Assisting in the maintenance of office equipment and ordering supplies as necessary.
  • Adhering to all legal industry regulations and guidelines. • Minimum of 2 years of experience in a receptionist role, preferably within the legal sector
  • Proficiency in answering multi-line phone systems
  • Strong customer service skills with a focus on professionalism and courtesy
  • Experience with data entry tasks and maintaining accurate records
  • Ability to handle email correspondence efficiently and professionally
  • Exceptional interpersonal skills for interacting with clients and team members
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Experience in organizing files and maintaining an orderly workspace
  • Ability to schedule appointments and manage calendars
  • Familiarity with document scanning and electronic file management
  • Experience with filing systems and administrative tasks
  • Must have administrative assistance skills and the ability to multitask effectively
