Job Description:

The Senior Contract Administrator will work collaboratively with colleagues to deliver intelligent solutions that ensure quality project delivery to our organization. The Senior Contract Administrator plays a key role in preparing, examining, analyzing, negotiating, and revising contracts for vendors, services, and construction requirements.

Essential Duties & Responsibilities
  • Develops, documents, and establishes practices for all necessary contractual parameters including vendors, services, and construction requirements to ensure with all Vanir processes and procedures.
  • Reviews prime contracts held between Vanir and owner and coordinates approvals to ensure compliance with all Vanir processes and procedures. Drafts prime contracts and subconsultant contracts using Vanir’s standard templates as required. Prepares related contract forms, correspondence, and records in accordance with company procedures.
  • Researches, analyzes, coordinates, develops, and maintains contract-related documentation. Serves as primary contact and liaison to staff by providing status on contracts and guidance on the use of Vanir’s contract templates.
  • Assist in the development and preparation of the business plan, the creation of progress reports, area presentations, various correspondence and the overall management of presentation materials.
  • Serves as point of contact for internal and external customers to track and provide the status on contracts. Manages contractual records and documentation within Vanir's Contracts Portal or client-preferred contract administration software.
  • Coordinates with accounting to ensure subcontractors and vendors are in compliance with all Vanir processes and procedures.
  • VantagePoint CRM Power User for the area. Ensures opportunities are set up per company requirements. Assists in the tracking cycle of lead through close of project in VantagePoint.
  • Participates in monthly plan reviews and updates revenue projections in VantagePoint to help ensure accurate financial forecasts are created, and to track resources.
  • Reconciles operating expenses accurately and efficiently, prepares the OH Budgeting and other financial reporting for the area.
  • Assists with monthly invoicing; prepares, organizes, and checks invoices against contract requirements. If needed, coordinates payments to subcontractors and vendors for timely processing; notifies the Project Manager of open and outstanding issues.
  • Assists with Accounts Receivable follow up, analysis and tracking
  • Assists with proposal reviews. Collects appropriate data to respond to Request for Proposals, including company brochure, marketing materials, prepares fee proposals, resumes and Power Point Presentations.
  • Consistently follows the organization’s safety policy, promoting a positive and collaborative safety culture.
  • May assist with the coordination of purchase orders for office orders, major events and company functions of a public nature, including preliminary budget preparation, organization of the event, and coordination of all activities involved.

Minimum Qualifications
  • A Bachelor's Degree in accounting, administration, or related field is preferred.
  • Ideal candidate will 5+ years of experience ensuring compliance with all contracts, RFP, governmental law, company and divisional policies on all contract activity.
  • Good understanding of financial / accounting principles
  • Ability to coordinate, develop and produce a wide range of contract documentation, including contracts, subcontracts, teaming and non-disclosure agreements, modifications, task/delivery orders, solicitations, cost/price estimates, cost/price analyses, negotiation memorandums, justifications, determinations, special contract provisions, representations, certifications and correspondence.
  • Experience in analysis and resolving complex contract issues as well as the ability to perform risk analysis and mitigation.
  • Knowledge of office equipment, procedures, systems, and protocols is required.
  • Effective communication, writing and computer Microsoft Office Suite, SharePoint, Adobe skills are essential.

Offered rate of compensation will be based on a variety of non-discriminatory factors, including education, qualifications, experience, and geographic location. The Salary range for this position is $95,000.00-$115,000.00.
