Job Overview: We are seeking a warm, organized, and detail-oriented Receptionist to be the first point of contact for clients and visitors at our firm. The ideal candidate will be personable, articulate, and able to manage a variety of tasks in a fast-paced environment.

This role is vital to ensuring smooth day-to-day operations and maintaining our firm's professional image.

Qualifications:

  • Previous experience as a receptionist, administrative assistant, or in a customer service role (preferably in a law firm or professional services environment)
  • Excellent communication and interpersonal skills
  • strong organizational skills and the ability to multitask effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal management software (preferred but not required)
  • Ability to maintain confidentiality and discretion with sensitive information
  • A professional demeanor and polished appearance
  • High school diploma or equivalent required; some college or legal training is a plus
salary: $19 - $21 per hour
shift: First
work hours: 9 AM - 5 PM

Responsibilities
  • Greet clients, visitors, and vendors in a friendly and professional manner
  • Answer, screen, and direct incoming phone calls to the appropriate staff or attorneys
  • Schedule and confirm client appointments
  • Manage the firm's general email inbox, forwarding inquiries to the correct team members
  • Assist with filing, scanning, and maintaining confidential client records
  • Handle mail distribution, deliveries, and courier services
  • Maintain the cleanliness and organization of the reception area and conference rooms
  • Assist with administrative tasks such as data entry, copying, and preparing legal documents
  • Monitor office supplies and coordinate reordering with office management
  • Support staff and attorneys with special projects and other administrative duties as needed
