We are in search of an Office Services Associate in the financial services industry, based in Boston, Massachusetts. This role involves a wide range of back-office services, from reprographics and mail services to supporting other service lines as needed.

Responsibilities:
  • Handling reprographics, mail, and intake functions in accordance with established procedures.
  • Ensuring accurate completion of job tickets before initiating work.
  • Prioritizing workflow to manage multiple tasks efficiently.
  • Communicating effectively with supervisors or clients regarding job or deadline issues.
  • Delivering all work within contracted deadlines.
  • Troubleshooting basic equipment problems and placing service calls when necessary.
  • Maintaining accurate logs for all office services work.
  • Interacting with clients in various formats - in person, over the phone, or electronically.
  • Adhering to policies in addition to client site policies.
  • Conducting Quality Assurance checks on own work and that of others.
  • Handling sensitive and/or confidential documents and information with utmost discretion.
  • Making independent decisions that align with business needs and policy.

  • Proficiency in Office Functions and Operations, including the effective use of office equipment
  • Familiarity with Procedures and Policy implementation in a financial services setting
  • Experience Answering Inbound Calls in a detail oriented and timely manner
  • Supervisory skills, with the ability to oversee a team and manage resources effectively
  • Understanding of the Hiring Processes within the financial services sector
  • Proficiency in Scanning, including handling and digitizing various documents
  • Experience with Receptionist Duties, including greeting clients and managing appointments
  • Ability to Troubleshoot common office issues, ensuring smooth operations
  • Knowledge of Facility management, including maintenance and safety standards
  • Digital literacy, with the ability to use various software and online platforms
  • Excellent Communication Skills, both written and verbal
  • Experience Scanning Documents and maintaining digital records
  • Ability to Maintain Logs, tracking various office activities for transparency
  • Familiarity with Machinery used in office settings, with the ability to operate and maintain them
  • Understanding of Paper management, including filing and archiving systems
  • Experience in Quality Assurance, ensuring high standards of service are maintained
  • Ability to Distribute Faxes, ensuring timely and accurate receipt of documents
  • Willingness to work Overtime, as required by the organization's needs
  • Experience handling Service Calls, addressing client queries and concerns effectively
  • Ability to handle Confidential Documents with discretion and integrity
