Rockford Construction is seeking a detail-oriented and organized Entry-Level Accounting Administrator to join our team. This role will primarily support the accounting department with administrative tasks such as processing invoices, assisting with vendor payments, and maintaining accurate records.Additionally, the position will involve handling travel-related questions and concerns, as well as assisting with coordinating travel arrangements when needed.
The ideal candidate is a proactive, service-oriented individual who thrives in a fast-paced environment and is eager to contribute to the success of our accounting team and the overall operations of the company. This role is an excellent opportunity to develop both accounting and administrative skills while providing valuable support to our team.
What Will I Do?- Review and track invoices in the system, ensuring they are sent to the correct project owners for payment status updates.
- Assist with processing vendor payments accurately and on time.
- Support the reconciliation of accounts and ensure records are well-organized and up to date.
- Help with data entry, maintaining spreadsheets, and generating accounting reports as needed.
- Assist with general administrative tasks within the accounting department.
- Prepare and review monthly work papers on balance sheet accounts.
- Perform other duties to be assigned.
- Book and coordinate travel arrangements, including flights, hotels, rental cars, and other accommodations for employees.
- Serve as the main point of contact for addressing travel-related questions, concerns, and changes before, during, and after travel
- Communicate with team members to ensure travel arrangements align with company policies and preferences.
- Maintain accurate records of travel schedules, itineraries, and expenses.
- Resolve travel issues promptly and effectively, including last-minute changes or cancellations.
- High school diploma or equivalent required; Associate's degree in accounting or finance preferred.
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Must have a working knowledge of MS Office, including strong skills in Excel, Word, and Outlook
- Team player who thrives in a fast paced, high-energy environment
- Ability to learn and use accounting software and travel management tools
- Prior experience in administrative support, accounting, or travel coordination is a plus but not required

The work environment for this position is a typical office environment in which physical demands require the ability to sit for long periods of time. Intermittent movement will be necessary to perform requirements of the position such as accessing centrally located office equipment.
