Talent Acquisition Coordinator
An advertising-technology agency in Santa Monica is hiring a contract Talent Acquisition Coordinator for 3-4 months. This is a hybrid role where you will be required to go to the Santa Monica office up to 2 days per week. As the Talent Acquisition Coordinator, you will be responsible for coordinating global interviews, managing interview logistics, and ensuring a positive candidate experience.
Roles and Responsibilities:
- Schedule and coordinate global interviews, ensuring timely communication and proper room/virtual setups.
- Play a pivotal role in candidate communication, acting as a point of contact throughout the interview process.
- Provide Talent Acquisition Administrative Support, including posting job openings, maintaining our ATS, and preparing offer letters.
- Track and report on important recruitment metrics with a focus on maintaining an organized candidate pipeline.
- Identify areas of improvement in the recruitment process and provide feasible recommendations.
- Provide general support to the Talent Acquisition team and assist with ad-hoc recruiting projects as required.
Interview Scheduling & Coordination
o Schedule and coordinate global interviews with candidates and hiring managers, ensuring timely communication.
o Manage interview logistics, including room bookings, virtual meeting setups, and onsite interviews
o Support multiple Talent Acquisition Partners and Hiring Managers around the globe in North America, EMEA, and JAPC
Candidate Experience/Communication
o Act as a point of contact for candidates throughout the interview process, providing updates and answering inquiries.
o Act in a high sense of urgency and consideration
o Ensure candidates have a positive experience from initial contact to offer acceptance.
Talent Acquisition Administrative Support
o Assist in posting job openings on internal and external job boards.
o Maintain and update Greenhouse, the Applicant Tracking System (ATS) with candidate data and interview feedback.
o Prepare and send offer letters, and assist with onboarding for new hires as needed.
Reporting & Metrics
o Track and report on recruiting metrics such as candidate status, interview feedback, and time-to-hire.
o Assist with organizing and maintaining candidate pipelines for various roles.
Process Improvement
o Identify areas to streamline or improve the recruitment process and provide suggestions to improve efficiency.
o Provide general support to the Talent Acquisition team and assist with ad-hoc recruiting projects as needed, including any assistance towards the greater People Operations team.
The ideal candidate will have 1-2 years of experience in a recruiting or HR coordination role, preferably within a fast-paced tech or corporate environment. Strong organizational and time management skills are required. Bachelor’s degree in human resources, Business Administration, or a related field is preferred but not required.This is a hybrid role and requires 2 days per week in the Santa Monica office. Pay is based on experience, between $23-26/hr.
- Proficiency in using ADP - Financial Services to manage and streamline HR processes
- Familiarity with ADP Workforce Now, demonstrating the ability to handle workforce management solutions
- Knowledge of ATS - Asynchronous Transfer Mode to ensure efficient data transfer
- Experience with Ceridian for human capital management
- Proficiency in using Dayforce for payroll and benefits management
- Experience with 'About Time' software for effective time and attendance management
- Possess auditing skills to ensure compliance and accuracy in HR practices
- Ability to conduct thorough background checks for prospective employees
- Understanding of various benefit functions, capable of managing and administering employee benefits
- Excellent communication skills, both written and verbal, to effectively convey information across different levels in the organization
