We are offering a long-term contract employment opportunity for Executive Secretaries and Administrative Assistants in Albany, New York. The role involves providing high-level administrative support within our team, conducting research, preparing statistical reports, handling information requests, and performing clerical functions.
Responsibilities:
- Provide administrative support by conducting research and preparing statistical reports.
- Handle information requests and perform clerical functions such as preparing correspondence, receiving visitors, and arranging conference calls.
- Schedule meetings and organize travel and business expense reimbursements.
- Act as immediate supervisor's personal representative in routine contacts with other State executives.
- Perform special assignments, studies, and routine administrative functions as specifically directed.
- Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response.
- Manage calendars and schedule meetings with both internal and external stakeholders.
- Handle correspondence, calls, emails, and other forms of communication with internal and outside stakeholders.
- Prepare reports and other documents, manage travel arrangements including booking flight and hotel reservations.
- Assist with special projects and research as needed. • Demonstrated proficiency in Microsoft Excel and other Microsoft Office applications
- Experience in customer service and strong interpersonal skills
- Excellent communication skills, both written and verbal
- Ability to perform clerical duties such as correspondence and reporting
- Experience in research and project management
- Knowledge of hiring processes and ability to liaise with vendors
- Ability to handle financial notes and interact with stakeholders at all levels
- Experience in managing travel arrangements and maintaining expense accounts
- Familiarity with the software 'About Time' for efficient planning
- Ability to lead special projects and ensure timely delivery of deliverables
- Experience in preparing reports and managing reimbursements
- Ability to support C-Suite executives with administrative tasks
- Capability to manage complex scheduling and planning tasks
- High level of professionalism and confidentiality
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Willingness to take on new challenges and learn new skills
- Proven track record of reliability and consistency
- Experience in managing complex travel arrangements
- Ability to handle sensitive information with discretion.
