We are offering a long-term contract employment opportunity for Executive Secretaries and Administrative Assistants in Albany, New York. The role involves providing high-level administrative support within our team, conducting research, preparing statistical reports, handling information requests, and performing clerical functions.

Responsibilities:

  • Provide administrative support by conducting research and preparing statistical reports.
  • Handle information requests and perform clerical functions such as preparing correspondence, receiving visitors, and arranging conference calls.
  • Schedule meetings and organize travel and business expense reimbursements.
  • Act as immediate supervisor's personal representative in routine contacts with other State executives.
  • Perform special assignments, studies, and routine administrative functions as specifically directed.
  • Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response.
  • Manage calendars and schedule meetings with both internal and external stakeholders.
  • Handle correspondence, calls, emails, and other forms of communication with internal and outside stakeholders.
  • Prepare reports and other documents, manage travel arrangements including booking flight and hotel reservations.
  • Assist with special projects and research as needed. • Demonstrated proficiency in Microsoft Excel and other Microsoft Office applications
  • Experience in customer service and strong interpersonal skills
  • Excellent communication skills, both written and verbal
  • Ability to perform clerical duties such as correspondence and reporting
  • Experience in research and project management
  • Knowledge of hiring processes and ability to liaise with vendors
  • Ability to handle financial notes and interact with stakeholders at all levels
  • Experience in managing travel arrangements and maintaining expense accounts
  • Familiarity with the software 'About Time' for efficient planning
  • Ability to lead special projects and ensure timely delivery of deliverables
  • Experience in preparing reports and managing reimbursements
  • Ability to support C-Suite executives with administrative tasks
  • Capability to manage complex scheduling and planning tasks
  • High level of professionalism and confidentiality
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Willingness to take on new challenges and learn new skills
  • Proven track record of reliability and consistency
  • Experience in managing complex travel arrangements
  • Ability to handle sensitive information with discretion.
