We are seeking a Receptionist to join our team in the higher education industry located in New York, New York, United States. This role offers a long term contract employment opportunity and involves a variety of tasks such as handling reservations, engaging with clients, and ensuring a smooth running of our office space.
Responsibilities:
- Provide a warm welcome to clients and visitors, ensuring a positive first impression of our organization
- Handle reservations for multiple floors within the establishment, managing the process efficiently
- Display strong interpersonal skills, interacting professionally with all levels of staff, including executives
- Use Microsoft Excel, Microsoft Word, and Microsoft Outlook to manage and organize files, schedule appointments, and correspond via email
- Show proficiency in Data Entry by maintaining accurate records
- Demonstrate excellent customer service skills by addressing inquiries and resolving issues promptly
- Manage a multi-line phone system, directing calls as necessary, and ensuring all communication is handled professionally and timely
- Maintain a well-organized, efficient office environment by taking care of administrative tasks as needed
- Ensure all guests are offered refreshments such as coffee and water, enhancing their experience at our establishment
- Adhere to all security procedures, including background checks and fingerprinting. • Proficiency in answering multi-line phone systems
- Demonstrated ability in providing excellent customer service
- Experience with data entry tasks
- Proficiency in email correspondence
- Strong interpersonal skills
- Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
- Experience in organizing files in a systematic manner
- Ability to schedule appointments effectively
- Prior experience in a similar role within the higher education industry is desirable
- High school diploma or equivalent education level required
- Ability to manage multiple tasks simultaneously
- Excellent verbal and written communication skills
- Ability to work in a fast-paced environment
- Strong attention to detail
- Ability to maintain confidentiality of sensitive information
- Experience in a higher education setting is a plus
- Familiarity with office equipment such as printers, fax machines, and scanners.
