We are seeking a Receptionist to join our team in the higher education industry located in New York, New York, United States. This role offers a long term contract employment opportunity and involves a variety of tasks such as handling reservations, engaging with clients, and ensuring a smooth running of our office space.

Responsibilities:

  • Provide a warm welcome to clients and visitors, ensuring a positive first impression of our organization
  • Handle reservations for multiple floors within the establishment, managing the process efficiently
  • Display strong interpersonal skills, interacting professionally with all levels of staff, including executives
  • Use Microsoft Excel, Microsoft Word, and Microsoft Outlook to manage and organize files, schedule appointments, and correspond via email
  • Show proficiency in Data Entry by maintaining accurate records
  • Demonstrate excellent customer service skills by addressing inquiries and resolving issues promptly
  • Manage a multi-line phone system, directing calls as necessary, and ensuring all communication is handled professionally and timely
  • Maintain a well-organized, efficient office environment by taking care of administrative tasks as needed
  • Ensure all guests are offered refreshments such as coffee and water, enhancing their experience at our establishment
  • Adhere to all security procedures, including background checks and fingerprinting. • Proficiency in answering multi-line phone systems
  • Demonstrated ability in providing excellent customer service
  • Experience with data entry tasks
  • Proficiency in email correspondence
  • Strong interpersonal skills
  • Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
  • Experience in organizing files in a systematic manner
  • Ability to schedule appointments effectively
  • Prior experience in a similar role within the higher education industry is desirable
  • High school diploma or equivalent education level required
  • Ability to manage multiple tasks simultaneously
  • Excellent verbal and written communication skills
  • Ability to work in a fast-paced environment
  • Strong attention to detail
  • Ability to maintain confidentiality of sensitive information
  • Experience in a higher education setting is a plus
  • Familiarity with office equipment such as printers, fax machines, and scanners.
