Overview:

Responsible for leading day-to-day facilities management functions for assigned facilities within the PASA portfolio. As well as provides general oversight and internal department accountability for facilities management staff, project and emergency management, as well as financial outcomes, and information security outcomes.

Responsible for leading day-to-day facilities management functions for assigned facilities within the PASA portfolio. As well as provides general oversight and internal department accountability for facilities management staff, project and emergency management, as well as financial outcomes, and information security outcomes.

A DAY IN THE LIFE:

  • Responsible for facilities management operational functional activities, establishing priorities and sequences to meet the designated departmental goals and objectives.
Tailors all applicable master facilities management frameworks, plans, policies, programs, processes, procedures, continuous improvement, and key performance indicators to each assigned facility and is responsible for timely implementation, monitoring, benchmarking, documentation and ensuring oversight compliance with applicable codes, regulations, governmental, accreditation, auditing agencies and/or governing bodies as related to facilities operations.
  • Oversees and manage day-to-day facilities operations.
  • Ensure proper management of service contracts responsibly, ethically, and cost effectively, while ensuring service delivery contractual commitments are met. Responsible for periodic ongoing performance, financial review, auditing, and ensuring contract pricing is in line with industry standards.
  • Coordinate the collection, analysis, and reporting by the facility management team of statistical data and analysis to provide accurate and current assessment of facility management objectives, work order productivity, cost savings and improvements. Review work order metrics and system to identify service gaps and recurring issues and provide corrective actions.
  • Responsible for dispersing, training, and ensuring successful organizational understanding of approved operation manuals, plans, policies, programs, processes, procedures. Draft, submit for approval to upper management, maintain, provide guidance, and training on facility-specific ‘Standard Operating Procedures’.
Responsible for the management, safe storage and upkeep of facility-specific compliance, project close out, and vendor documentation, as well as safeguarding facilities-related certificates, permits, and insurance as operationally and regulatory mandated.
  • Acting as a facilities project lead, by providing oversight, direction, and delivery for facilities approved initiatives for all assigned facilities following industry best practices, adhering to regulatory compliance agencies/ governing bodies, and partnering/collaborating with applicable stakeholders, clients, suppliers, vendors, and internal facilities team members through all phases of Project Management.
  • Tailors all applicable master emergency management frameworks, plans, policies, programs, processes, procedures, continuous improvement, and key performance indicators to each assigned facility and is responsible for timely implementation, monitoring, benchmarking, documentation and ensuring oversight compliance with applicable codes, regulations, governmental/ accreditation agencies as related to emergency operations
  • Responsible for pre-planning, planning and response to emergencies and/or business disruptions for all assigned facilities, tasked with attending meetings, conducting trainings, workshops, drills, functional exercises, member of the Incident Command Structure when activated, and recommends/ carry out courses of action for critical operational activitie
  • Available on-call 24/7 to provide general oversight to emerging and ongoing emergencies and carry out assigned emergency management functions, processes and procedures as indicated in all emergency plans established.
  • Ensure the management of assigned financial resources responsibly, ethically and in compliance with company standards.

MUST-HAVES:

  • Must possess an associate degree or 5 years’ experience facilities management.
  • Bilingual English/Spanish required.
  • Facilities Management Certifications preferred.
  • Manages staff including supervision, counseling, mentoring, performance standards and review, discipline, training and employee development.
  • Maintains and improves employee morale.
  • Responsible for maintaining expenditures and budgets to the extent authorized and may have the responsibility of inventory, capital investments, or head count controls.
