Key Responsibilities:
- Office Administration: Manage daily office operations, including answering phones, responding to emails, and maintaining organized filing systems.
- Document Management: Prepare, edit, and distribute correspondence, reports, and other documents related to construction projects.
- Scheduling: Coordinate meetings, appointments, and travel arrangements for management and project teams.
- Record-Keeping: Maintain and update records such as project timelines, invoices, contracts, and permits.
- Support Construction Projects: Assist with preparing bid proposals, tracking project deadlines, and maintaining communication with vendors, subcontractors, and clients.
- Financial Assistance: Process expense reports, track invoices, and assist with budget management.
- Inventory Management: Order and manage office and project supplies to ensure smooth operations.
- Compliance: Ensure documents and practices comply with regulatory requirements and company policies.
- High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.
- 2+ years of administrative experience, ideally in the construction or a related industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software is a plus.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
- Familiarity with construction terminology and processes is highly desirable.
