In this newly created role, you will support our Survey and Civil Engineering teams by coordinating projects, ensuring they are completed on time and within budget, and handling project billing.

Primary responsibilities include: Project Accounting Assistance
Permit payments, submittals, and tracking.- Project billing.
- Project accounts payable execution.
- Subcontractor payments and statements.
- Communication with vendors and clients regarding financial transactions and resolving any discrepancies.
Assisting with proposal research, development, execution, and follow-up.
- Managing project set-up and tracking.
- Client Outreach.
- Coordination of utility locates.
- Supporting Civil Design and Survey teams with project preparation, legal description, subcontractor coordination, client communication & project follow-up.
- Tracking Professional Development requirements of team members.
- Assisting with all project management activities including answering phone calls, filing, managing and updating contract terms, lien waver execution, contract amendments, permit research, and project schedule coordination.
- Other duties as assigned.
Ideal Project & Billing Assistant candidates will have the following qualifications:
- Self-motivated individual with a positive attitude and aptitude to learn and excel in their career.
- Excellent written and verbal communication skills with internal team, clients, and regulatory agency staff.
- Experience in accounting / financial management.
- Experience working in an office environment with ability to accurately track and document information associated with projects.
- Ability to take direction while providing support to a team with coordination and management of responsibilities.
- Organized with attention to detail and accuracy.
- Problem-solving and basic troubleshooting skills
- Computer skills with experience using Microsoft Office, Excel, Co Pilot, and other internal programs.
- Valid driver’s license.
