Sr. Administrative Assistant

We are seeking a Sr. Administrative Assistant to join our team in San Francisco, California. In this role, you will primarily be assisting in managing administrative tasks and ensuring the smooth operation of our office. Furthermore, you will act as a key point of contact for all communications and manage the front desk duties.

This role offers a short term contract employment opportunity.

Responsibilities:

  • Facilitate efficient and effective communication by hosting and conducting virtual meetings via platforms like Zoom and Microsoft Teams.
  • Act as the primary point of contact for all forms of communication, whether in-person, via email or through phone calls.
  • Manage and organize the calendar meticulously, scheduling new meetings and rearranging existing appointments in case of conflicts.
  • Execute front desk duties that include welcoming visitors, unlocking doors, and directing incoming calls to the appropriate parties using the office phone.
  • Maintain a detail oriented and =+ years of experience demeanor and provide excellent customer service.
  • Process and manage administrative tasks efficiently.
  • Utilize skills in Concur, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Microsoft Word, About Time, Calendar Management, Correspondence, C-Suite, and Documentation to manage tasks and support office operations.

  • Proficiency in Concur, a tool widely used for expense management.
  • Advanced skills in using Microsoft Excel for data management and analysis.
  • Comprehensive understanding and usage of Microsoft Office Suites, including PowerPoint and Access.
  • Ability to efficiently manage emails and scheduling through Microsoft Outlook.
  • Proficiency in Microsoft Word for creating and editing documents.
  • Familiarity with About Time, a software for managing mobile resources.
  • Experience in Calendar Management, effectively scheduling and organizing meetings and events.
  • Ability to handle Correspondence professionally, including emails and letters.
  • Previous experience in supporting C-Suite level executives.
  • Strong skills in Documentation, including recording, organizing, and storing information.
