Human Resources (HR) Assistant

We are offering a contract to hire employment opportunity for a Human Resources (HR) Assistant in Miami, Florida. This role is integral to our team and involves supporting HR administration, responding to employment verification requests, and assisting with onboarding and offboarding processes.

The HR Assistant will also handle various administrative tasks such as data entry, conference room scheduling, and office supply management.

Responsibilities:
  • Oversee the reception area, ensuring a welcoming environment for guests and governing bodies.
  • Assist in HRIS administration tasks such as data entry and updating personnel data.
  • Respond to all Verification of Employment/Income requests in accordance with HR policy and procedure.
  • Review timesheets for weekly completion and time and PTO approvals; provide timesheet guidance to supervisory teams as needed.
  • Assist with the onboarding and offboarding process, which includes managing IT tickets and badging.
  • Coordinate conference room scheduling and setup, including catering and other meeting needs.
  • Manage office supply requests, ordering, and distribution.
  • Coordinate facilities maintenance repairs with landlords, contractors, and vendors.
  • Oversee office housekeeping vendor and related supply inventory; coordinate special housekeeping needs.
  • Assist in the coordination of special events, including securing venues, catering, and entertainment.
  • Handle travel arrangements, including flights, ground transportation, and hotel accommodations.
  • Provide HR support for ad hoc and ongoing projects.
  • Maintain awareness of customer needs in communications, actions, and service delivery.
  • Comply with HIPAA rules, appropriately safeguarding PHI or other private and confidential information.
  • Proficiency in ADP
  • Financial Services and ADP Workforce Now
  • Familiarity with ATS - Asynchronous Transfer Mode
  • Experienced in using Ceridian and HRMS software
  • Knowledge of About Time software for time tracking
  • Understanding of benefit functions and compensation administration
  • Ability to ensure compliance with HR policies and regulations
  • Proven track record in managing employee relations
  • Excellent administrative assistance skills
  • Ability to maintain confidentiality and act with discretion and integrity
  • Strong communication skills, both written and verbal
  • Attention to detail and high level of accuracy
  • Ability to multitask and prioritize tasks effectively
  • Proficient in using Microsoft Office Suite
  • Bachelor's degree in Human Resources or related field is preferred
  • Previous experience in a similar role would be advantageous.
