Procurement Assistant

Rachel Miller is excited to announce an opportunity for a Procurement Assistant for a client in Albany, NY. In this role, you will collaborate with the procurement department, providing essential support in areas such as supplier communication, data management, and process coordination.
Your contributions will be instrumental in maintaining the accuracy and efficiency of their procurement operations.
Key Responsibilities:
- Oversee the accurate execution and distribution of NDCA’s for new suppliers.
- Perform data entry tasks efficiently using Viewpoint software.
- Participate in project conference calls and supplier meetings.
- Distribute RFQs to suppliers and track their progress.
- Prepare and issue Purchase Orders and Change Orders for major equipment and subcontractors.
- Monitor and manage all procurement processes following order execution.
- Utilize CRM and ERP tools for streamlined procurement management.
- Ensure compliance with procurement standards, policies, and regulations.
- Deliver exceptional customer service to both internal and external stakeholders.
- Support the team with receptionist duties and general administrative tasks as needed.
- Adept at using CRM software to manage customer relationships and interactions effectively.
- Proficient in ERP - Enterprise Resource Planning, to streamline business processes and manage daily business activities.
- Knowledge of compliance regulations related to procurement is essential.
- Exceptional customer service skills are necessary to maintain relationships with vendors and clients.
- Experience in providing administrative assistance, including managing schedules, organizing files, and preparing reports.
- Capable of performing receptionist duties, such as greeting visitors, answering phone calls, and managing correspondence.
