We are in search of an Office Assistant to join our team in Santa Ana, California. As an Office Assistant, your role will primarily involve offering support to our disability department. This opportunity offers a long term contract employment opportunity.

Responsibilities:

  • Manage the intake and verification of disability retirement claims applications, ensuring they are complete and accurate.
  • Maintain and manage records relevant to disability claims evaluation.
  • Initiate requests for necessary medical and personnel documents from relevant sources and properly file them upon receipt.
  • Organize, categorize, and index documents to facilitate easy retrieval and analysis.
  • Draft and dispatch initial process letters to involved parties and manage other correspondence throughout the disability claims evaluation process.
  • Provide support to disability retirement investigators and the director of disability in navigating the disability claims process.
  • Occasionally conduct consultations with applicants about the disability process, ensuring a thorough understanding of applicable laws and regulations.
  • Uphold high standards of customer service in all interactions, including managing phone inquiries and providing information to callers about the disability process.
  • Utilize various software systems such as Accounting Software Systems, ADP - Financial Services, Banner Ads, Computer Programs, CRM, About Time, to perform clerical duties and billing functions.
  • Proficiency in using various Computer Programs is a must
  • Experience with CRM (Customer Relationship Management) software is desired
  • Ability to answer queries and provide solutions in a detail oriented manner
  • Experience in Answering Inbound Calls is necessary
  • Proficiency in Billing Functions, including invoicing and account reconciliation, is required
  • Experience in performing various Clerical Duties, such as filing, photocopying, and data entry, is essential
