Responsibilities:
The Office Services Coordinator performs various office administrative support duties, including maintaining office space, ordering supplies, submitting work orders, set up/breakdown of events, and assisting other facility operations with a high degree of tact and customer service.Comfortable being first point of contact for building related issues and able to respond calmly, quickly, effectively, and professionally.
Facility/Office Services – 80%- Comfortable being first point of contact for building related issues and able to respond calmly, quickly, effectively, and professionally.
- Carry out regular checks of space to identify areas of improvement or issues that need resolve and work with facilities team to satisfy expectations of the office look and feel. Such scope of maintenance responsibilities may include identifying furniture, cleaning, electrical, and plumbing needs. Upkeep of current equipment is critical for gym, kitchens, and overall promotion of efficient working environment.
- Works with building management to submit and follow up with maintenance requests.
- Works with vendors for staff amenities, including but not limited to: food delivery, coffee vendors, and gym needs.
- Maintain and order office and kitchen supplies as needed.
- Coordinate in-house corporate events/meetings by ensuring clean space, outreaching organizer, and setting up rooms as requested.
- Assist with the planning and execution of Employee Engagement, DIB, and Philanthropy events across all branches.
- Perform miscellaneous administrative duties such as labeling, alphabetizing assignments, folding and stuffing envelopes, etc.
- Support onboarding of new staff through various tasks including hanging name plates, setting up desks, ordering business cards, creating badges etc.
- Continually order business cards as needed to satisfy current staff needs.
- Assist the facilities team as needed on multiple office projects to ensure continuity and momentum.
Perform other duties as assigned.
Mail Services – 10%- Receive, sort, and scan all business mail to appropriate departments.
- Notify designated department personnel of letters and packages received via courier services.
- Record pertinent information into database and make deliveries as applicable.
- Responsible for first of the month deductible/delinquency mail and also supports branch outgoing mail services.
- Perform other duties related to handling of mail and packages, including operating mail processing machine for outgoing mail.
- Answer incoming phone calls in a timely manner and direct to the appropriate extensions.
- Greet visitors and advise personnel of guest arrivals.
Qualifications:
- High school diploma required. Some college preferred.
- Minimum one year of office administration experience required, and prior experience desired in office services.
- Excellent verbal and written communication skills.
- Attention to detail in work, ability to spot errors and make corrections.
- Must possess strong critical thinking, problem solving, analytical, and prioritization skills.
- Ability to work efficiently and anticipate needs.
- Learn, interpret, and apply procedures.
- Proven capability for positive customer service.
- Ability to work independently and in a team environment.
- Proficiency with MS Office Suite. Ability to lift up to 25 lbs. and capable of bending down.
- Work requires sitting at a desk, crawling on the floor, use of tools, etc.
- Must be able to work on multiple assignments, under moderate stress levels.
- Requires sufficient personal mobility, physical reflexes, and mental capacity, to permit the employee to function in a business office environment with tact and professionalism while accomplishing tasks.
