Rachel Miller with Robert Half is partnering with a company in the Capital Region. We are seeking an experienced and detail-oriented Office Manager to oversee and coordinate various administrative, financial, and operational tasks. The Office Manager will be responsible for managing accounts payable, accounts receivable, cash management, payroll, human resources, and other general office functions.

This role requires excellent organizational skills, a strong understanding of accounting processes, and proficiency in utilizing systems such as Sage.

Accounts Payable (AP)
  • Review pricing, enter invoices, and address vendor price/tax adjustments.
  • Print weekly checks, reconcile vendor statements, and manage vendor setup.
  • Process credit card statements and file payables with check stubs.
Accounts Receivable (AR)
  • Prepare and send monthly AIA invoices and change orders.
  • Review aged trial balances, follow up on collections, and enter payments received.
  • Maintain AR records in job folders and Sage systems.
Cash Management
  • Reconcile payments, bank statements, and sales tax returns.
  • File quarterly tax returns (PTET, HUT, corporation taxes, payroll taxes).
  • Assist with general ledger entries and annual financial reporting.
Job Cost Management
  • Set up jobs in Sage and Exaktime, including geofences and certified classes.
  • Review contracts, POs, and manage change orders.
  • Process and track time/material adjustments in job files.
Payroll Administration
  • Process weekly payroll, adjustments, and direct deposits via NACHA files.
  • Manage withholding taxes, child support, and certified payrolls.
  • Import payroll data from Exaktime and handle prevailing wages, OT, and benefits.
  • File quarterly payroll tax reports (941, NYS 45) and generate payroll reports.
Human Resources (HR)
  • Onboard new employees, update records, and track training requirements.
  • Develop policies, oversee benefits renewals, and manage workers’ compensation and audits.
  • Communicate policy updates and ensure employee compliance.
Qualifications
  • Proven experience in office management, accounting, and payroll.
  • Proficiency with Sage and payroll systems.
  • Strong knowledge of accounts payable/receivable processes and tax regulations.

Preferred:

  • Experience in construction accounting
