The UCI Artificial Intelligence in Science Institute (AISI) is currently led by Director Pierre Baldi and Associate Director Xiaohui Xie, Donald Bren School of Information and Computer Sciences. First and foremost, the primary mission of (AISI) aims to advance research on the applications of artificial intelligence across various scientific disciplines, as well as the underlying mathematical and algorithmic foundations of AI.
In addition to its focus on innovative basic and applied research, AISI is committed to educating future researchers and practitioners. The Institute collaborates with established companies, startups, government agencies, and standard organizations to facilitate the transition of AI technologies into practical, widespread use.

Furthermore, AISI supports the public service mission of the University of California by addressing societal issues related to AI, including safety concerns.

Responsibilities:

Reporting to the UCI AISI Director, Pierre Baldi, incumbent is responsible for oversight of all administrative operations of the Artificial Intelligence in Science (AISI), an interdisciplinary Special Research Program Unit with an annual budget of $5M and annual expenses of $2.5M. Incumbent will be responsible for budgetary and financial management of federal and private contract and grants, subawards, gifts, unrestricted funds and AISI’s annual operating budget.

Incumbent will perform short-and long-term planning and projections of financial resources for AISI faculty and oversee purchasing and reimbursements. Duties also include pre-award proposal submissions, preparing grant budgets, reviewing proposal administrative sections such as biosketches, resources page and other support pages, post award contract and grants management, preparing grant renewals, and financial reports for sponsoring agencies and donors, procurement and facilities management activities.

This role is responsible for human resources, UCPath payroll, including oversight of faculty, staff, non-senate academic employees and graduate students who hold joint appointments at academic units. May be expected to train and supervise support staff or students.

Demonstrates good judgment in selecting methods and techniques for obtaining solutions while ensuring safety protocols and UC policies are followed.

The expected salary range is $77,000 - $108,100.

Required:

  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Experience with contracts and grants (C&G) proposal preparation and submission as well as C&G post-award management.
  • Knowledge of a variety of administrative operational activities such as event planning, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of common University-specific computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques. Knowledge of human resources policies and procedures for staff, non-senate academic employees and ASE and GSRs.
  • Proven skills to quickly evaluate complex issues and identify multiple options for resolution.
  • 3-5 years Experience in a university environment

  • May be occasionally asked to work evenings or weekends for Institute events.
