We are in search of a Front Desk Coordinator to join our a financial firm located in Irvine, California. The role is 100% on-site and offers a contract to permanent employment opportunity. As a Front Desk Coordinator, you would be expected to deliver exceptional service to clients, manage multiple projects, and handle a variety of day-to-day office tasks.
Responsibilities:
- Ensure the provision of excellent customer service by greeting and assisting clients and employees.
- Handle the management and distribution of parking validation.
- Sort and distribute all incoming mail, stamping with the received date, and preparing all outgoing mail for pickup.
- Prepare and distribute incoming UPS shipments and ensure the readiness of outgoing ones.
- Maintain a clean and stocked kitchen area, managing coffee stations, trash/recycling, dishes, and beverage refills.
- Coordinate and order catering for various meetings and events.
- Keep track and order office supply inventory as needed.
- Perform administrative tasks as directed.
- 5 years of administrative assistant or front desk coordination experience
- Skilled in Answering Multi-Line Phone System, being able to manage and direct calls efficiently
- Experience in delivering Concierge Services, providing excellent hospitality to clients
- Excellent Interpersonal Skills, with the ability to communicate effectively with team members and clients
- Knowledge of Microsoft Excel, with the ability to create and manage spreadsheets
- Familiarity with Microsoft Outlook, with the ability to manage emails and calendar events
- Proficient with Microsoft Word, able to create and edit documents
- Experience in Organizing Files, maintaining a tidy and efficient workspace
