Ultimate Care is seeking an enthusiastic and dedicated HR Home Care Office Lead to join our dynamic team!

The HR Home Care Office Lead is responsible for ensuring efficient office operations while maintaining compliance with HR policies and home care industry regulations. This role involves overseeing HR operations, recruitment, and compliance while managing administrative tasks such as scheduling, documentation, and employee records.

The ideal candidate will have strong organizational skills, attention to detail, and experience with HR operations in the home care industry.

Key responsibilities include maintaining compliance with employment laws, managing recruitment efforts, coordinating onboarding, and supervising office employees to ensure adherence to industry standards. Proficiency with applicant tracking systems (ATS), HHA Exchange software, and HR databases is essential.

Job Type: Temp-to-Perm, based on candidate performance and fit.

Salary Range: $25-$27 an hour, based on experience.

Schedule: M-F, 8:30AM-5:00PM, on-site.

You will:

  • Maintain accurate and up-to-date human resources files, records, and documentation with integrity and confidentiality.
  • Provide administrative support for HR, recruitment, and other departments by addressing applicant and employee inquiries regarding policies, benefits, and hiring processes.
  • Review and approve applicant files to ensure 100% compliance.
  • Conduct new hire orientation and prepare employee ID badges.
  • Assist with employment verifications and job letter requests.
  • Oversee background check processes, ensuring accurate documentation and timely completion, including fingerprint appointments. Maintain and update the ARLA system and spreadsheets for tracking background checks.
  • Ensure compliance with Health Commerce Criminal History Record Check (CHRC), NYSDOH, and the Fair Chance Act.
  • Assist with disability, FMLA, and Workers’ Compensation paperwork for field employees.
  • Manage reception area and inventory of office supplies.
  • Supervise Long Island office employees, overseeing field employee compliance records and ensuring adherence to Department of Health (DOH), HIPAA, and JCAHO standards. Leadership responsibilities may expand as the agency grows, with potential oversight of 1-2 employees in the future.
  • Provide guidance and support to staff on maintaining compliance with rules and regulations.
  • Assist in scheduling employee medical appointments, ensuring timely coordination to support operational efficiency.
  • Enhance employee engagement by providing training to additional office staff, ensuring knowledge transfer and professional development.

  • Experience using applicant tracking systems (ATS), HHA Exchange software, and payroll/benefits administration platforms.
  • Familiarity with HR databases and candidate management systems.
  • Knowledge of employment laws and regulations.
  • High level of attention to detail.
  • Ability to handle confidential information with integrity.
  • Strong negotiation skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with data analysis and compliance tracking tools.
  • Understanding of home care industry regulations to support talent acquisition and compliance.
