We are seeking an Executive Assistant for a role based in Pennsauken, New Jersey. As an Executive Assistant, you will support the CEO and COO in a variety of administrative and planning tasks, including but not limited to scheduling, handling expenses, and organizing events.

This role offers a long-term contract employment opportunity.

Responsibilities:

  • Manage scheduling for CEO and COO, including arranging meetings and coordinating appointments
  • Handle travel arrangements for executives as needed, ensuring efficient and cost-effective planning
  • Process expense reports, ensuring accurate tracking and timely reimbursement
  • Utilize CRM and other tools like ADP - Financial Services, Cisco Webex Meetings, Concur, and Kronos Timekeeping System to manage and organize information
  • Plan and coordinate events, including birthday and anniversary celebrations, contributing to a positive company culture
  • Collaborate with other team members, providing support and assistance as needed
  • Proactively manage various tasks independently, demonstrating strong initiative and problem-solving skills
  • Maintain a detail-oriented and friendly demeanor, contributing to a positive workplace environment
  • Adapt to changes in executive schedules and office events, demonstrating flexibility and resilience
  • Maintain confidentiality and discretion in all tasks, upholding the highest standards of conduct.
  • Proficiency in ADP - Financial Services is essential.
  • Familiarity with Cisco Webex Meetings is required.
  • CRM skills are a must.
  • Knowledge of Kronos Timekeeping System is needed.
  • Ability to use About Time is important.
  • Calendar Management skills are required.
  • Excellent Communication skills are essential.
  • Experience in managing Conference Calls is needed.
  • Capable of handling Correspondence efficiently.
