Hudson Dental Arts, PLLC is currently looking for an Office Manager to work in the Hudson, NY office. What you will be doing:
- Coordinate the day-to-day execution of office practice that increase productivity and efficiency
- Manage the reception area to ensure telephone, mail, and email communications maintain a professional image
- Continuously seek improvement and implement best practices
- Respond to clinical and operational issues in a timely and professional manner
- Know and enforce dental office contingency plan, Employee Handbook and office policies
- Manage patient financial accounts
- Oversee the dental office’s petty cash and cash flow to the bank
- Facilitate maintenance of office equipment including cleaning, maintenance, and repairs
- Oversee inventory of office supplies
- Manage/oversee collections and accounts receivable
- Oversee patient surveys, reviews and actively address poor patient experience or complaints
- Improve employee and client retention rates through active communication and problem-solving efforts
- Support marketing and promotion initiatives
- Cover front desk as needed
- Open and close office as needed
- Perform all other related projects and duties as assigned
- Assign, direct and manage staff duties, coordinate day-to-day execution of office practices that increase productivity and efficiency etc.
- Determine staff schedules and ensure operational standards are met
- Manage the recruitment process, including posting positions, interviewing, and offer as directed by the OEM.
- Continually monitor and develop performance of staff including but not limited to training, coaching, disciplinary action, motivating, setting goals, giving timely feedback, accountability and incentives.
- Effectively manage, delegate the team’s roles and responsibilities and allocate resources in collaboration with Managers at other practices.
- Payroll submission and timesheet approval, approve time off, manage and track attendance.
- May handle or assist with discipline and termination of employees in accordance with company policy
- Conduct employee evaluations and make recommendations for salary reviews
- Be a change agent who is comfortable leading their team through change and promote a positive work environment
- Coordinates and participates in daily team huddles
- Ensure confidentiality of all personnel and employment-related information
- Maintain staff training, certification, license and employment records
- Help arrange for staff Continuing Education
- Maintain facilities and equipment in accordance with OSHA, HIPAA, and applicable federal, state, or local law.
- Securely store and handle records in compliance with HIPAA regulations.
- Educate staff on regulatory laws or compliance updates
- Stay current with trends, legislation and regulations in the dental profession
What you will need:
- At least three years of administrative dental office experience is preferred.
- High school diploma required; associate degree or bachelor’s degree in office administration or related field preferred
- 3-5 years Management or supervisory experience required
- Excellent time management skills with a proven ability to meet deadlines
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Proficient with Microsoft Office Suite (Excel, Word, Outlook) and Google Applications
- Conflict resolution experience
- Ability to handle stressful situations in a professional manner. Exposure to a variety of personalities and attitudes from clients, vendors and medical facility staff members
- Knowledge of dental terminology and office procedures
- Customer service or patient relations experience
- Will have up-to-date training and certification in Healthcare Provider Basic Life Support issued by American Heart Association, American Red Cross or American Health & Safety Institute. Must obtain within 3 months if not current at hire.
