We are offering a permanent employment opportunity for an Executive Assistant in the Hospitality industry, based in Irvine, California. This role involves a wide range of administrative tasks to support our team, including meeting coordination, travel arrangement, document preparation, and ad-hoc project support.
Responsibilities:- Efficiently manage and coordinate meeting schedules, ensuring smooth operations and anticipating needs in advance.
- Take charge of travel arrangements, meticulously crafting itineraries and managing related expenses.
- Prepare and manage documents, presentations, and spreadsheets using office tools like Word, PowerPoint, and Excel.
- Oversee the setup for both on-site and off-site meetings to ensure all requirements are met.
- Assist in the onboarding process of new team members, providing them with necessary support and guidance.
- Plan and coordinate team events to foster a positive company culture and recognize team achievements.
- Liaise with senior leadership and collaborate with other administrative assistants, maintaining open lines of communication.
- Handle additional projects as needed, demonstrating flexibility and adaptability in a dynamic environment.
- Utilize advanced Office 365 skills to streamline administrative processes and improve efficiency.
- Leverage skills in master scheduling and calendar management to keep track of appointments, events, and deadlines.
- Arrange travel and meetings, coordinating schedules, and managing logistics to ensure seamless operations. • A minimum of 5 years' experience in an executive assistant role within the hospitality industry
- Mastery of scheduling and calendar management
- Proficiency in Office 365 and Office suite
- Experience with booking and coordinating travel arrangements
- Knowledge of arranging travel itineraries and managing travel expenses
- Ability to coordinate meetings, appointments, events, and schedules effectively
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to prioritize tasks and handle multiple projects simultaneously
- Proactive, self-starter with the ability to work independently
- High level of discretion and confidentiality
- Strong problem-solving skills and ability to make decisions under pressure
- Ability to work in a fast-paced, dynamic environment
