Humane Society Naples, Southwest Florida's state-of-the-art no-kill animal shelter, is accepting applications for our Accounting Assistant. The Accounting Assistant provides general accounting and clerical support to the Finance Department, particularly in the accurate and timely handling of accounts payable.

This position reports to the Chief Financial Officer.

Schedule: This is a full-time position, 32-40 hours per week, typically M-F between the hours of 8 am - 5 pm with an hour for lunch, but we are open to discussing part-time or alternate/flexible scheduling. Some work from home flexibility is available after the initial training period, but three days per week are in-office.

Responsibilities
  • Process accounts payable for multiple departments and company locations
  • Review all invoices for appropriate documentation and approval prior to payment
  • Reconcile vendor statements; research and resolve discrepancies
  • Prioritize invoices according to discount potential for early payment
  • Ensure timely and accurate payments are made according to payment terms
  • Review and process employee reimbursement requests
  • Prepare weekly check run and process other check requests
  • Match invoices to checks, obtain signatures for checks, and distribute
  • Audit and process credit card bills and associated expense reports
  • Process and distribute incoming mail and deliveries
  • Respond to vendor communication and inquiries
  • Daily data entry related to accounts payable, revenue, and deposits
  • Scanning of documents for company electronic files
  • Assist in month-end closing
  • Assist with bank reconciliations and general ledger account analysis
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Other incidental duties as assigned that advance the mission of Humane Society Naples
Requirements
  • High school diploma or GED required; Associate’s degree in accounting business or related field preferred
  • Minimum of one year of experience in accounting, experience in non-profit financial management and accounting preferred
  • Accurate accounting and mathematical skill
  • Strong analytical skills
  • Computer proficiency, including accounting system knowledge
  • Willingness to learn new software
  • Highly organized and able to manage multiple projects
  • Detail-oriented
  • Excellent written and spoken communication skills
  • Strong interpersonal skills and emotional intelligence that support quality customer service, conflict resolution, and teamwork
  • Strong work ethic, including reliable attendance, integrity, and honesty
  • Adaptable and flexible
  • Ability to work within a team in a fast-paced environment
  • Compassion and concern for companion animals
  • Fluency in English is required
  • The following physical requirements are considered essential to this position:
  • The ability to see at approximately 20/20 vision with or without assistive devices
  • The ability to hear or read lips with or without assistive devices
  • The ability to use arms, hands, and fingers, including fine motor movements
  • Personnel in this position can expect to sit or stand for long periods of time, and engage in occasional mild physical labor, including but not limited to bending, stooping, crouching, pushing, pulling, and lifting.
