Overview:

The Senior HR Project Manager is a strategic and collaborative leader responsible for the successful planning, execution, and completion of HR projects across the organization. This role is critical in enhancing HR operations, improving efficiencies, and elevating the overall employee experience.

The Senior HR Project Manager will partner with various HR functions and organizational leaders to drive cross-functional initiatives, ensure alignment with strategic objectives, and implement impactful system and process enhancements. This position plays a key role in fostering operational excellence, maintaining compliance, and supporting the organization’s mission through innovative and effective HR solutions.

This role requires strong project management expertise, effective communication skills, and an ability to collaborate with cross-departmental teams and external partners. The ideal candidate will have demonstrated experience with HRIS platforms, and experience with Paycom is highly desirable for this position, as it will involve optimizing payroll and HRIS functionalities.

The Project Manager will play a pivotal role in aligning HR project outcomes with organizational goals, meeting deadlines, and maintaining compliance with relevant regulations.

This is a full time, exempt, benefit eligible position in Berkeley, CA.

Benefits

Compensation: $110,000 - 140,000/year. We offer excellent benefits including: medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits including ten paid holidays, Flexible Spending Accounts, 403(b) retirement savings plan.

Responsibilities:

  • Strategic Project Planning and Execution
  • Lead large-scale HR projects from initiation through implementation, ensuring alignment with strategic organizational goals and overseeing cross-departmental collaboration.
  • Oversee multiple projects simultaneously, including payroll system updates, employee engagement initiatives, compliance audits, and HR process improvements.
  • Perform risk assessments to identify potential obstacles, proactively developing strategies to mitigate risks and adjusting project plans as needed to meet evolving organizational needs.
  • Track project progress and ensure all HR projects are delivered on time, within scope, and aligned with established goals.
  • Payroll and Benefits Project Support
  • Partner closely with the payroll and benefits teams to enhance payroll processes, focusing on accuracy, compliance, and efficiency.
  • Lead payroll-related project initiatives such as Paycom optimization, data audits, and system integrations, ensuring data integrity and compliance with regulatory requirements.
  • Facilitate system upgrades, open enrollment processes, and benefits enhancements, ensuring seamless integration with payroll and HR systems to improve the employee experience.
  • Develop and implement process documentation for payroll and benefits workflows to support standardization, clarity, and efficiency.
  • Stakeholder Collaboration and Relationship Management
  • Build and maintain strong relationships with cross-functional teams, including payroll, benefits, finance, IT, and external vendors, to align project objectives and foster a collaborative project environment.
  • Serve as the main point of contact for HR project stakeholders, ensuring clear and consistent communication, providing regular project updates, and seeking feedback throughout the project lifecycle.
  • Collaborate with external vendors and consultants involved in HR and payroll projects, managing deliverables and ensuring all third-party contributions align with organizational standards.
  • Process Improvement and Efficiency Optimization
  • Identify opportunities to streamline and improve HR and payroll processes, focusing on workflow optimization, cost savings, and increased data accuracy.
  • Lead process improvement initiatives within HR, utilizing technology to support automation, increase efficiency, and reduce manual intervention in HR and payroll workflows.
  • Document and implement best practices, workflows, and standard operating procedures for payroll, benefits, and HR processes to ensure consistency and reliability across the organization.
  • Evaluate and optimize Paycom and other HR systems, ensuring they effectively meet the organization’s evolving HR and payroll needs.
  • Change Management and Training
  • Develop change management strategies to support the adoption of new HR processes, systems, and policies, reducing disruption and increasing engagement.
  • Create and execute comprehensive communication plans, including FAQs, email templates, guides, and presentations to ensure that all employees are well-informed about upcoming changes.
  • Conduct training sessions and provide hands-on support to HR, payroll, and benefits teams to build confidence in new systems and processes.
  • Develop user guides, job aids, and other resources to support team members in using new tools effectively, with a focus on maximizing productivity and engagement.
  • Data Collection, Analysis, and Reporting
  • Design and implement data collection methodologies to evaluate project success, utilizing key performance indicators (KPIs) and other metrics to measure project impact and return on investment.
  • Develop dashboards and reporting tools within Paycom and other HR systems to provide visibility into project progress and outcomes, presenting findings to HR leadership and stakeholders.
  • Conduct post-implementation reviews to capture lessons learned, identifying areas for improvement and applying insights to future HR projects for continuous improvement.
  • Ensure data confidentiality and integrity by implementing data governance and security measures in compliance with company and regulatory standards.
  • Compliance, Risk Management, and Quality Assurance
  • Ensure all HR and payroll projects comply with relevant federal, state, and local regulations, including labor laws, data privacy, and tax regulations.
  • Develop risk mitigation plans for HR projects, addressing potential compliance risks in collaboration with legal, finance, and HR leadership.
  • Conduct regular quality assurance checks, including audits of payroll data, process reviews, and documentation evaluations, to maintain high standards of operational accuracy.
  • Leverage Paycom’s compliance features to monitor and ensure adherence to regulatory requirements and best practices in HR and payroll operations.

Qualifications:

  • Skills and Competencies
  • Project Management Skills: Proven track record of successfully managing HR and payroll projects from inception to completion, including time management, budget control, and stakeholder alignment.
  • Analytical and Problem-Solving Skills: Ability to analyze data, conduct root cause analysis, and generate solutions to improve project outcomes, enhance efficiencies, and mitigate risks.
  • Communication and Collaboration: Excellent verbal and written communication skills with the ability to build consensus among diverse teams and stakeholders.
  • Technical Proficiency: Proficiency in Microsoft Office Suite, Paycom (highly desired), and Monday.com for project management, with experience in data integration and compliance management.
  • Adaptability and Innovation: Strong ability to adapt to changing priorities in a dynamic environment and proactively identify opportunities for process improvement.
  • Compliance and Risk Management: In-depth knowledge of labor laws, data privacy regulations, and payroll compliance, with experience developing risk mitigation strategies.
  • Education and Experience
  • Bachelor’s degree in human resources, Business Administration, or a related field; Master’s degree preferred.
  • Minimum of 5-7 years of experience in experience in HR project management or related roles, with demonstrated expertise in leading large-scale, complex HR initiatives..
  • Strong familiarity with HRIS platforms and payroll software; extensive experience with Paycom is highly desired.
  • Experience managing complex projects that involve cross-functional teams, external vendors, and compliance considerations.
  • Preferred Qualifications
  • - Certification in Project Management (e.g., PMP, CAPM) or equivalent experience managing large-scale HR projects.
  • Experience in a healthcare or nonprofit setting, with knowledge of industry-specific HR compliance and payroll needs.
