Under the direction and supervision of the manager of Nursing Operations, the Scheduling Assistant performs a wide range of communication and coordination functions to support safe patient care throughout the organization. This role is responsible for the scheduling of qualified resources (RN's/LPN's, PCAs/CTs & BAs/UCs) for a 24 hour per day, 7 day a week operation to meet staffing requirements within the organization while remaining within budgeted hours each week.

Specific responsibilities of this role include, but are not limited to: Kronos Advanced Scheduling, KRONOS Timecard Management, reports, projects, and data collection.

Responsibilities:

  • 1. Schedule -Preparation and on-going management:
  • 1.1 Under the direction of the NROC manager and in collaboration with the PSM's/APSM's of the patient care units/departments: creates monthly schedules according to Staffing and Scheduling Standards for all RN's/LPN's, PCAs/CTs & BAs/UCs in assigned areas. The schedules will match budgeted staffing grids covering shifts 24 hours per day / 7 days per week, including on call hours, and adhering to schedule due dates. Uses to the electronic web based software tool to post available shifts with each 4 week schedule.
  • 2. KRONOS Editing
  • 2.1 Daily completes KRONOS edits
  • 3. Collaboration and Teamwork
  • 3.1 Works with peers to assure a productive workflow within the office, including assisting each other with the completion of schedules and KRONOS.
  • 4. Customer Service:
  • 4.1 Meets with the assigned unit managers on a daily and/or scheduled basis to review Master Staffing Plans, Pattern Schedules, and KAS/KRONOS timecard issues.
  • 5. Data Management:
  • 5.1 Produce staffing reports which include monthly employee schedules, Overtime reports and Unit to unit transfers

Qualifications:

EDUCATION

A minimum of a high school graduate; Associates or Bachelor's degree in Business is preferred.

EXPERIENCE

Two to four years' experience with twenty-four hours a day/seven days a week scheduling experience and/or higher level secretarial experience.

SPECIAL SKILLS

Computer literacy and software skills related to Microsoft Word and Excel are required. Working knowledge of scheduling and payroll programs preferred. Strong customer service, attention to detail, and excellent communication skills are required, both written and oral.
Must possess patience and the ability to relate tactfully and professionally with all nursing staff members. Must be knowledgeable of administrative practices, procedures and policies. Must possess the ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations.

Ability to complete assignments in a timely manner with minimal supervision. Must possess outstanding organizational skills. Ability to understand and operate mechanics of a multi-line telephone/paging system.

PHYSICAL DEMAND
  1. Must be able to move intermittently throughout the day, proper body mechanics required'bending, stooping, turning, stretching, reaching above the shoulders and occasional lifting are involved.
  2. Must be able to cope with the mental, emotional and physical stress of the position.
  3. Must be able to observe, listen and communicate effectively.
