We are in search of an Office Manager to join our team in Palo Alto, California. In this role, you will handle various operational tasks, including maintaining office supplies, managing reservations, and ensuring the smooth functioning of the office.

This role offers a long-term contract employment opportunity in a hybrid work environment.

Responsibilities:
  • Ensure the office is well-stocked and organized, including ordering supplies and maintaining the kitchen area.
  • Manage reservations for company events such as happy hours.
  • Greet guests and provide excellent customer service.
  • Handle any necessary office repairs, calling for professional help when necessary.
  • Monitor and process customer credit applications accurately and efficiently.
  • Maintain accurate customer credit records and perform regular audits to ensure information is up-to-date.
  • Resolve customer inquiries professionally and promptly.
  • Monitor customer accounts and take appropriate action when necessary.
  • Utilize Microsoft Office Suites and other software systems for data entry and account management.
  • Perform basic accounting functions such as Accounts Payable (AP) and Accounts Receivable (AR). • Proficiency in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook
  • Experience with Accounting Software Systems and ADP - Financial Services
  • Familiarity with accounting functions including Accounts Payable (AP) and Accounts Receivable (AR)
  • Knowledge of billing functions and procedures
  • Strong customer service skills
  • Ability to manage office operations and administrative tasks effectively
  • Excellent communication and organizational skills
  • Attention to detail and problem-solving ability
  • Ability to work independently and as part of a team
  • Proven experience in a similar managerial role is preferred.
