Overview:
The function of the Senior Program Coordinator of Quality Assurance & Compliance is to maintain and implement an internal corporate compliance plan which ensures that Camp Loyaltown complies with applicable federal and state laws and regulations and its own policies and procedures and internal code of conduct.Coordinates all aspects of Quality Assurance/Compliance to ensure that all required documentation and procedures are correct and are processed in a timely manner. Oversee the Quality Assurance/ Compliance at Camp and with Citizens/ AHRC and helps organize respite at Camp.
Serves as a liaison to support departments including Finance, Accounting, Compliance, Human Resources, Payroll and all other departments which are involved with the operation of Camp Loyaltown. Works June through mid-September at Camp in Hunter, and the remainder of the year either in Plainview or Hunter.
Responsibilities:
Primary duties and responsibilities includ but not limited to:
- Practice and promote the agency’s mission statement in every interaction. Through family and community engagement, Citizens supports people to live the life they choose.
- Adhere to all regulations, agency policy and procedures, the employee handbook, and agency and program training requirements.
- Report to the Justice Center as a mandated reporter if there is reasonable cause to suspect abuse or neglect. Additionally, must follow all agency incident policy and procedures.
- Maintains spreadsheets as requested.
- Develops and revises camp policy and procedures to ensure they remain current and relevant as new issues arise
- Provides routine audits of practices and makes recommendations for improvement.
- Oversees and participates in incident management process, including internal incident review committee.
- Provides training on regulatory requirements or internal processes as necessary.
- Ensures compliance with HIPAA requirements and manages breaches of information.
- Participates in program or agency committees and requested by supervisor.
- Provides oversight of and participates in internal reviews of the Agency’s service documentation to ensure that services billed for are properly documented. Recommends changes to documentation procedures as needed
- Provides oversight of Camp Loyaltown’s procedures to conduct periodic internal reviews of its programs and services to ensure that they are in compliance with applicable programmatic regulations (self-survey). It should be noted that Citizens has been designated as a COMPASS agency based upon the excellence of its programs and services and the ability to effectively monitor compliance with regulatory requirements. Self-survey results are not submitted to OPWDD, but may be reviewed by OPWDD, as may any Agency record.
- Conducts special internal reviews of Agency practices or situations as assigned by the Assistant Director, Associate Director, Director of Family Support Services, or the Senior Director of Citizens
- Recommends revisions or additions to the Agency’s Corporate Compliance Plan/Camp Loyaltown’s plans as needed. Develops and implements internal review processes to ensure that the Agency/Camp Loyaltown is in compliance with its plan.
- Provides training and/or consultation to Agency staff in the content and interpretation of regulations which apply to Agency/Camp programs and services.
- Supervises the Program Coordinator of Training & Development and Program Coordinator of Respite & Program Operations.
- Participates in the opening of camp at the beginning of the camp season and the closing of camp at the end of camp season to include inventory of supplies, and appropriate storage of items and supplies. Participates in the ordering of needed camp materials and supplies prior to the start of each camp season, and throughout the season as needed.
- Participates in daily administrative meetings during camp, including weekly team meetings on the off season.
- Acts as a liaison between camp and the local community to increase community involvement and to resolve conflicts.
- Develop, prepare, and implement checklists and forms for staff to utilize as they care for people at camp, and ensure that all staff are trained on proper use of these forms.
- Participates in respite weekends to include transportation to and from camp, direct support to people using respite and participation in recreational activities.
- Makes recommendations to the Assistant Director, Associate Director, and Director regarding internal policy and procedure changes to strengthen the Agency’s/Camp’s compliance with laws and regulations applicable to its programs and services.
Performs all other duties as requested by the Assistant Director, Associate Director, Director, Senior Director, Associate Executive Director and/or Executive Director.
Qualifications:
- High School Diploma
- Experience at camp preferred
- Qualified NYS Driver’s License and maintain a Qualified driver status throughout employment.
